Auto Reply to an Alias

Hi Power Users,

 

We want to create an flow to Auto reply on an Alias that is connected to an shared mailbox. 

 

Lets say dennis@qwe.com is leaving. We want to reply on the mails that has been send to him.

 

Because we want to delete his account. His Exchange online will also be deleted. 

 

We will assign his Alias to an shared mailbox 'noreply@qwe.com'

 

we want to reply specific to the sender that Dennis is not working here.

 

I have try this:

  • Login as the shared mailbox in power automate and create an flow.
  • Select the connector trigger ‘Office 365 Outlook – When a new email arrives in a shared mailbox
    • The next stage is to add a lookup to the Excel document stored in the shared. Mailbox OneDrive.Select ‘Excel Online (Business) – Get a row’
    • Here we have 3 rows with the alias as user 
    • Subject as the subject. And message as the message what needs to be send. 

For. Some reason the flow does not get the to field. By this way there is no flow started. Also i dont know how to stop loop if the sender sends an reply back. 

 

Hope someone can help me with this. I think many People like to use this.

    My recommendation is not to use Power Automate for this purpose. Instead do NOT delete the M365\Exchange account. If you delete the user account you will lose ALL there history and access. You may want to retrieve it later.

    Rather you should:

    1. Make their Mailbox a Shared Mailbox
    2. Assign the Shared mailbox to another user.
    3. Use Outlook Rules to manage the Auto-Reply.
    4. Block user access in M365 Admin
    5. Remove any licensing for the user.

    Hi, Thank you for your feadback. 

     

    Shared mailbox is an option but not an option to reply when an mailbox has been changed. Like an mailbox that has been used for years and now the alias has been changed.

     

    When we delete the user we first activate Litigation Hold to hold the mailbox in-active. This is much better than shared mailbox.

     

    For now i have done this:

    -Created an Account with E3 license and give the name No-Reply.

    -Create an flow with

    -Create an Excel file on one drive with this user with the following rows:

    in the next flow:

    nldenic_2-1657189167393.png

    Next send an email:

    nldenic_3-1657189218332.png

    and if possible forward mail to the person in the forward field:

    nldenic_4-1657189263483.png

    and after that delete the mail:

    nldenic_5-1657189285581.png


    But now i am thinking how i can stop the loop if some one is sending back an OOF to this alias 🙂
