Why is 'When an email is sent' trigger missing for Office 365 Outlook/Outlook connector?

Hello Community,

A customer wants to know why a sent email trigger for Office 365 Outlook/Outlook connector doesnt exists?
They use Outlook mailbox heavily at the moment and not feasible to change human workflows immediately.
There is a requirement to get notified on sent emails and take multiple actions.

I read about few workarounds like
  1. Sending emails from Dataverse using email activities or
  2. Copy sent emails to another mailbox and leverage incoming email trigger on the copied mailbox
Please let me know if there are any other workarounds and the reasons on why this capability is missing.

Thanks
Dinesh

    Hi  ,

Thank you for choosing Microsoft Community.

There is no ‘email sent’ trigger because Graph exposes no send event.

Try using shared mailbox/Exchange Mail Flow Rules (transport rule) instead.-This is the supported workaround which is to auto‑BCC or forward sent mail into a shared mailbox using an Exchange transport rule, then trigger your flow on “When a new email arrives” for that mailbox.

I hope this helps resolve the issue! If you need more specific guidance, feel free to ask.

    Hey,

the trigger is not available since sending an email is always a reaction to something else.
-> Soemone called, send a mail, had a meeting , a document was created, and so on...

There is a posibility to create an automatic rule to push emails that have been send to another folder inside of Outlook. You can use this as a trigger for the flow.

For your scenario, the most practical supported options are:

Test “When a new email arrives (V3)” on the Sent Items folder. That trigger is folder-based, and Microsoft documents that sent messages are saved to Sent Items by default. https://learn.microsoft.com/en-us/connectors/office365/

Use Microsoft Graph on Sent Items for a stronger solution. Graph supports change notifications when a message is added to a folder and also supports delta queries for incremental changes in a specific mail folder. https://learn.microsoft.com/en-us/graph/outlook-change-notifications-overview

    Best regards,

    Valantis
