When item is modified send only one email

Hi,

 

My datasource is a Sharepoint list. 

 

In my PowerApp I have a dropdown where the user can select a name to escalate the item to.

 

This will trigger an email asking the person to log into the tool. 

 

However, if the PowerApp user selects 10 items to escalate to the same person I still just want only 1 email to be sent, not 10.

 

Can anyone help with this please?

    Hi @milky_bar_may 

    Since there is no screenshot on how or what are all the details that you are trying to send in the email, I assume the details are just the item id or title. Before send an email, you have to construct the html table or array and try to use that output in the send email so that only one consolidated email will be sent to the user.

    Hi @milky_bar_may ,

     

    When Flow is triggered, what data can be passed to Flow?

     

    If we can get the item id, then we can filter the user info contained in the item, group them and summarize the information. Then we can send an email reminder to the individual users.

     

    Please provide more details so that we could provide a proper workaround for you.

    In the flow you can have "Apply to each" where you use "Append to array variable" and append all the data you need and collect it. Then create HTML table from the Array and send it as an email.

    Thank you all for your responses. I am a complete novice with Automate so my apologies.

     

    This is a screenshot of my flow:

    As you can see, if 10 items are modified and to the same user then they will receive 10 emails. 

     

    Ideally I would rather they just received one email, rather than 10 clogging up their inbox

    I'm not really sure how you can solve this.

    The trigger will always be triggered when a new item is created or modified.

     

    Is it always the same user that gets the email or do you use a column that specifies the user?

     

    Maybe you can use the Recurrence in flow and check every hour for all items that have been edited/created within that hour and send an email to the user every hour of new items have been edited/created.

     

    You would need a condition or recurrence to solve this i belive.

    Create a new column called send email. Once the email is send then update the column as 'Yes'. Before sending the email do a List Items filter against the records whether it's already send email or not?
