Fetch customer order from shared mailbox and paste it into specific cell in excel file created in a sharepoint

Hello Community,

I have a situation where I receive an email from the customer on a weekly basis with the order quantity. I have different types of products and for each of the product types, I receive one email for each product type mentioning order quantity on a weekly basis.
Now, I have created an Excel file in SharePoint where these products are listed and until now I used to enter the order quantity manually adjacent to the product type in this Excel file. I would like to automate this process such that the order quantity is copied adjacent to the product type on receiving the email in the shared mailbox.

Looking forward to hearing great suggestions from your side and thank you in advance for the help.

I have the same question (0)

I'm not exactly certain of what you are trying to achieve, but here are some starting points I think may help you, as it appears you are trying to use Power Automate Desktop:

    • You should be able to use either the Exchange Server or Outlook actions to connect to the shared mailbox to retrieve the emails and loop through them for the pertinent information.
    • In the version of SharePoint I am using, I can link a document library to OneDrive. This allows me to use standard file/folder and Excel manipulations on the files in the library, so you should be able to open the Excel file search for the proper row, and update the order column.
    • Depending on your technical skills, you may find it more efficient to use the Database SQL actions to update the Excel file, as it doesn't require the Excel application to be opened.
    • Then mark the email as processed somehow, e.g., move it to a different folder.

Hopefully, that should give you some ideas on how to start.

    Hi @davidengel @Agnius  @Nived_Nambiar ,

Thank you very much for the response!

For Example, this is how my email looks in mailbox:

    Email Title:  A 22 2024 PRODUCT TYPE A 202345 Serie (PROD)

    Email Body:
    END DATE: 27.09.2023 12:21:44
EXPIRATION ID : 110807787 AP FUNCTION: APEPWOSO Weekly Target

    |----|-------|-------------|--------|----|---------|
    | WK | MJ | MODEL GROUP| WEEK | VS.| QUANTITY |
    |----|-------|-------------|--------|----|---------|
    | 22 | 2024 | PRODUCT TYPE A | 202345 | | 161 |
    |----|-------|-------------|--------|----|---------|

** Here Product type A has order quantity of 161, and I want 161 adjacent to Product type in excel file (stored in Sharepoint)
Excel file has column where all the Product Type are already listed and I want to capture order quantity via Power Automate on receiving this weekly email

I would appreciate your help if you show me the process flow along with required code to automate this task.

Thank you in advance and Kind Regards 🙂

@Agnius @Nived_Nambiar @trice602 @davidengel Still looking for an solution as I am looking for an workflow along with expression to fetch two details from email body and update it in Excel file:
    Here is my email body:

    Email Title:  A 22 2024 PRODUCT TYPE A 202345 Serie (PROD)

    Email Body:
    END DATE: 27.09.2023 12:21:44
EXPIRATION ID : 110807787 AP FUNCTION: APEPWOSO Weekly Target

    |----|-------|-------------|--------|----|---------|
    | WK | MJ | MODEL GROUP| WEEK | VS.| QUANTITY |
    |----|-------|-------------|--------|----|---------|
    | 22 | 2024 | PRODUCT TYPE A | 202345 | | 161 |
    |----|-------|-------------|--------|----|---------|

I want to extract two highlighted info from above mail body and then match Product Type A which is already available in my Excel to look for from this incoming email and after matching this criteria (Product Type A) from Email and Excel, I want to fetch Order number "161" adjacent to my matching cell (Product Type A) in Excel.

Can someone please help me here? Thank you in advance!

    Hi @VK19

one thing confuses me here, is the email is having table format where the order quantity is stored?

Also could you share two three samples of email format (image format) so that we can figure best possible way to extract details from it ?

    Thanks & Regards,
