Complex flow - copying files, creating links, updating table in spreadsheet

Hi all,

First time posting here but have used several threads in the past to help solve some Flow problems! I am trying to recreate a complex flow that was built by a former colleague who has now left, and I am coming up against some issues.

Overall, I want the flow to do this:

When a response to an MS Form is submitted --> Get response details --> Add a row into an Excel table --> Find the file that was uploaded as part of the form --> Copy the file to a SharePoint site --> Create a sharing link for the file --> Update the row in the Excel table for that response with the sharing link.

So far the only way I've been able to get the file copying to work is to have it as a separate flow. So here are the two flows:

The problem I have is whilst both of these flows work, I can't figure out how to add the sharing link into the correct row of the Excel table for the file that has been copied across. I've tried a few things, Get row, List rows present in table but can't get them to work.

The files uploaded are named First Name_Last Name, but these are two different columns in the Excel table (and need to be) so anything I do to try and find part of the File name in the Excel field fails.

I'd really appreciate any insight or tips for this - I've been working with PowerAutomate for a while but am not that conversant in coding etc. Happy to provide any more information if required. Thanks in advance for your help!

    Hi @AL-13031014-0,

Let's resolve this with one flow, for simplicity I didn'g go for screenshot, if these steps help let me know.

Step 1: Trigger - When a Response to an MS Form is Submitted - you have done this in first flow.

Step 2: Get Response Details - you have done this in first flow.

Step 3: Add a Row into a tableyou have done this in first flow.

Step 4: Find the Uploaded File from the Form Response - here is the catch ( you don't need When a file is created action)

    • Use the file upload field from the Get response details output to get the file URL or ID.

Step 5: Copy the File to a SharePoint Site - add the Copy file action from the SharePoint connector.

    • Configure the source site address and file identifier (from the form response).

    • Configure the destination site address and folder path where you want to copy the file.

Step 6: Create a Sharing Link for the File - you have done this in second flow.

Step 7: Update the Row in the Excel Table with the Sharing Link

    • Add the Update a row action from the Excel Online (Business) connector.

    • Use the Row ID from the row you added in Step 3.

    • Update the column designated for the sharing link with the URL from the sharing link action.

I am sure some clues I tried to give. If these clues help to resolve the issue brought you by here, please don't forget to check the box Does this answer your question? At the same time, I am pretty sure you have liked the response!

Hi @Haque thanks for your help here.

I've now built the flow using the steps you suggested but when I test it I'm getting this error for the Copy file step:

Action 'Copy_file' failed: The response is not in a JSON format.

Would you be able to advise how to resolve this error?

    Thanks very much!
