Set Flexible Due Date in Planner via Power Automate in a Teams Environment

Hi all,

 

I'm currently exploring Power Automate, and I'm in the process of creating a flow that generates a Planner task whenever a chat message is sent to the group chat. I have a few key points that I want the flow to take care of when a message is sent:

 

  • Title of the task
  • The person responsible for the task
  • The due date/deadline of the task

Now, I have a main question regarding the due date:

  • Is it possible to make the due date variable? For instance, if I want person X to complete their task within 3 days, I'd like the due date to be set for 3 days from today. Similarly, if I want the task to be completed within 15 days, the due date should be set for 15 days from today, and so on.

Currently, the flow reacts to a message in the group chat in this format: Todo / Test 1 / M*** Z******. The title (1) and responsible person (2) seem to work correctly.

 

Additionally, I have a side question:

  • Can we set the Planner interface within Teams to default to 'Grouped by Assigned to'? If it's possible, could you please guide me on how to do it?

    Dear O,

    Suggest that for your variable date you look into a combination of:

    • Action 'Condition'... this will allow you to take certain steps (or not) based on input data. This sounds much like what you want were for a certain task you want 15 days, but another you want 5 days.
    • An expression used in an action with has (a combination of) the funtions:
      • UtcNow() - take the current date/time.
      • DateFormat() - allows you to define the date/time format as you see fit.
      • AddDays() - allows you to add/substract days/time towards something.

    There are plenty of examples in the forums and videos for the use of these functions, but knowing them should get you moving.

    I have been trying to make a flow/expression based on the functions you have mentioned, however, I am not able to create a flexible/variable date. 

     

    Can you/someone make an expression based on those functions?

    Dear O,

    Play around with it a bit, for example 'addDays(utcNow(), -28)' will give you the current date/time (utcNow()), minus 28 days. With 'FormatDateTime()' you can change the format on how you see the result.
