Need Help Developing Approval Workflow

I approve documents when I receive a request via a link in my email on outlook, I put this info in excel and the item is processed when I go into Leaf and type approved.  Once the docs are processed, I receive another email with a link for me to go and retrieve the docs, update the excel spreadsheet and send a letter with docs that are signed by me, to the person requesting them. Does anyone know a simpler way using automate?

    You posted in Power Automate Desktop and I believe you question is, can I build something in Power Automate to make the process easier correct? It's not super clear depending on how I read it.
     
    But let's take a look at what you are asking.
     
    I approve documents when I receive a request via a link in my email on outlook,
    --can you explain what Approve means? How do you see this being made easier?
    ---So from a power automate perspective or copilot (which uses power automate for this), we can Trigger a Cloud or Desktop flow based on an email coming in. If it has a special attachment name, and/or Subject or sender that makes it even easier to pre-filter out the checks on the incoming mail
     
    I put this info in excel and the item is processed when I go into Leaf and type approved. 
    --what information? Is this something you can set a template for?
    --what does the item is processed when I got into Leaf and type approved?
    Is Leaf a Program you use?

    --Ok so after you send approve in Leaf, you get a link to grab the documents, update excel (locally or in Business Online or do you care)
     
    Does anyone know a simpler way using automate?
     
    I am not sure how much of this can be automated as it seems much of it is manual and needed that way (the approval, updating Excel).
     
    Clicking in Leaf, or sending emails etc all can be automated but really it would take a little White board session to really build it out.
