workflow reliability and file processing consistency

The main challenges I am currently facing are related to workflow reliability and file processing consistency


  1.  

    Multiple Triggering (Loop Issue)

    The system sometimes detects the same file more than once, especially due to synchronization between QNAP and SharePoint. This leads to repeated processing and multiple emails being sent.


  2.  

    Incomplete File Synchronization

    Files are occasionally processed before they are fully uploaded or synchronized. This results in:

    • Empty or partial transcriptions
      Inconsistent output 


  3.  

    Inconsistent Transcription Results

    When the same file is processed multiple times, the transcription service can return slightly different results, causing confusion and lack of reliability.


  4.  

    Dependency on QNAP Sync

    The integration between QNAP and SharePoint introduces timing and duplication issues, making the workflow less stable compared to direct SharePoint processing.

    Please share a screen shot of your workflow so we can see what you are doing. Based on what you described, it sounds like you are facing an infinite loop scenario where the trigger action is when a file is created or modified. You then update the file, which causes the flow to trigger again. The following link provides some ways to prevent infinite loops.
     
     
    This may not resolve your issue since we do not know how your flow "detects" files.
