How to check whether certain fields are filled in the list for a certain status

Hi all,

I have one list on Sharepoint, that will be used by users as well as by IT. We use Canvas with mandatory fields for users. IT must proceed items after users, add additional date and change status. The task is to prove if IT have filled out some fields at certain status. For example, if status is "Clarification", than the field "IT Responsible" must be filled out and so on.

 

The ideal solution would be

1. use of a separate “Status-Field” list and one check in accordance with this list when entering data. (in Canvas?)

Other solution would be less convenient:

2. Sending a letter about lack of data after changing the status.

 

Now I was able to send a letter when status was changed, but specific fields are empty, i.e. simplified version 2 (Power Automate).

 

Are options 1 and 2 possible at all? If yes, to how?

    Hi @George_Po,

    In Power Automate, there is a trigger named when an item or a file is modifed, we could use it to trigger a flow when a field is modified, then use the Get Changes for an item or a file (Properties Only) to check if the status is changed and changed to the special one.

    In a word, idea related to Power Apps is not that ideal, using Power Automate is much more convenient.

    Hi Qi,

     

    I use exactly this way and it has it has flaws.


    1. This works not at the moment of entering data into the form, but afterwords
    2. You need to create a separate flow for each status.
    3. If you need to change the state of a field (mandatory or not) or if a new field is added, then you need to change the flows. I would like to see this as a configuration table of required fields from two columns Status-Field and use this table in one check.
