Share a Power Automate flow

(1) ShareShare

Hello everyone,
We use Office 365 Enterprise at work, and in an Excel file on SharePoint,
I have created two scripts and a Power Automate flow with the help of members of this forum.
The scripts appear in my Excel ribbon and the flow in the ‘Power Automate’ tab.
However, the end user will be a colleague who does not have access to the scripts and the flow.
Is there a way to allow one or more people to use the flow?
Or will the person have to create the scripts and workflows from scratch?
Thanks in advance
Best regards

    Basically, you will do this:
    1. Save the script as a file (.osts file)
    2. Store it in a SharePoint document library.
    3. Use the Run script from SharePoint library action to flow.
If the flow is not manually triggered and the actions all use connection references with your credentials, then there is no need to share the script. It will use your script under your credentials.

Your colleague does NOT need to recreate scripts/flows
    You must:
    • Share the flow (run-only or co-owner)
    • Share the Excel file
    • Use flow to execute scripts

Thank you for your prompt reply,

I’ll try out your two suggestions at work and get back to you here tomorrow evening.

    Kind regards

    Hello @David_MA@11manish

Here are the results of my tests today regarding sharing the Power Automate flow :

    - I went to my flows on make.powerautomate to enable the Share button.

    - I entered my colleague’s work email address, and she immediately received an email informing her that a flow had been shared with her.

    - We then tried opening the Excel file in SharePoint from her laptop, were unable to find the flow.

An icon in the right-hand pane indicated a search was in progress, with a blank page. The right-hand pane remained empty indefinitely.

    - Next, we tried in MakePowerAutomate, where the flow was clearly visible. We were able to run the flow, receiving the message ‘Completed’ indicating that the run had finished successfully.

However, nothing happened in the destination file where the two scripts are not visible to my colleague.

These scripts are supposed to copy a table from file A.xlsx into the destination file B.xlsx.

I wanted to apply David’s solution by creating .osts files, but I don’t know how to go about it.

Do I need to create them using a tool like VS Code or by another, simpler method ?

Should I save the files to OneDrive or SharePoint?

    Thanks in advance

    Best regards

It seems that it is not flow issue, it is permission issue

Share Excel files via SharePoint or OneDrive with Edit access

For script, you can see below :

To save the script to a .osts file, do this:
    1. Open Excel
    2. Go to the Automate tab
    3. Open the script
    4. In the Office Scripts pane, click on the three dots/ellipses
    5. Choose Save a copy from the menu and follow the prompts

Thank you very much for your replies.

I’ll try out each of your suggestions.

As my colleague is off tomorrow and Friday and Monday are public holidays, I’ll be back here by next Tuesday. I’ll have a look tomorrow to see if I can make some progress on my own.

    Have a good evening

    Best regards

I’m back again after today’s tests.

So far, I’ve carried out two actions:

    • In Power Automate: shared the flow

    • In the Excel file: Shared this script > Linked it to the workbook

Result: both scripts are visible to my colleague only in browser mode, but not when the file is opened in the desktop application.

She tried running the flow in both modes, but unfortunately nothing happened.

On my side, it had worked 5 minutes earlier, but when I tried again after my colleague, I received an automatic email from Power Automate informing me that the flow had failed and outlining the steps to fix the issue.

Initially, I had also copied the two scripts in .osts format. I placed the files in a SharePoint folder.

However, this duplicated the files in Excel’s Scripts view.

I probably didn’t fully understand this method, so I deleted the copies.

That said, it’s already a positive sign that the scripts are visible in browser mode for my colleague.
We will run more tests again tomorrow.

    Have a good evening.
