Email to Planner Task - Refining for broader distribution/other depts/contexts

Hey Power Automate Builders!
I am new to this forum, but I wanted to see if I could share a current flow I have been working on, and get feedback on it.

Essentially it allows someone to drag an email into a target folder in their Outlook, which then creates a matching Planner Task in a specific Planner (Teams). There's a lot more nuance in the granular elements (parent flows and different registries within SharePoint, to mitigate duplication and update existing tasks created from messages within the same email conversation thread, etc.) but I wanted to get some instruction on how to even share the flow with others outside my organization (University of Washington).

I am not super familiar with how to share flows, other than the exported .zip file--I have coached different members of my immediate team through uploading this flow, setting connections to SharePoint, Planner and Outlook, and entering their target Outlook folder and Planner identifiers. If I want to solicit feedback from people outside my organization, how would I go about that? They wouldn't have the same system accesses or access to the registries in Sharepoint... but perhaps this a non-issue for professionals--I learned to use Power Automate entirely from Copilot. I have uploaded here the .json and the .zip file for the main flow, and can next provide these files for the parent and stub flows, should anyone be interested. Please let me know if I should go about this another way, or in a different forum.

My goal is to make this flow better, to make it more generalizable for different contexts and groups, and to make the process of getting it set up with a new team member a lot easier/requiring less tech-savvy.

Thanks for your consideration!
Chris

If your long-term goal is to make this solution reusable across different teams and organizations:
    • Move all flows into a Solution.
    • Use Connection References.
    • Replace hardcoded values with Environment Variables.
    • Document the required SharePoint lists and Planner setup.
    • Share architecture and deployment documentation rather than only the exported flow.
This approach aligns with Microsoft Power Platform ALM best practices and will make your solution far easier to deploy, maintain, and gather feedback on from

    the broader Power Platform community.

We still can't see your attachment, next time use image upload which will appear immediately

Thanks for sharing it with the community is exactly the right move!

To make your flow shareable and reusable across different orgs/teams, the key steps are:

    • Wrap everything in a Solution — this bundles your flows cleanly for export

    • Use Connection References instead of hardcoded connections, so each person just plugs in their own Outlook/Planner/SharePoint creds

    • Environment Variables for things like the target Outlook folder name, Planner ID, SharePoint list URLs — no more manual hunting through the flow to update these

    • Document your SharePoint list schema so others can recreate the registries on their end

    •

Once it's solution-packaged, sharing for feedback is as simple as exporting the solution zip and pointing people to your setup doc. Way smoother than walking each person through it manually. Hope that helps!
