Premium connector question

Hi all,

I am finding a lot of contradicting information on premium connectors and would like some clarity. I wish to populate a word template (it is absolutely criminal that this is a premium connector and requires a per user license IMHO but let us work with this limitation for now) from a SharePoint document library metadata. I was using Quick part document properties but am hitting the 255 character limit issue and the fact that it likes to launch in the word web app which is not fit for purpose and does not update the fields automatically like the word app (I know there is a way to launch in the non-web app but the system has restricted that functionality).

Can I purchase a single power automate premium license for a service account, populate the metadata/columns using the users account, then use a “When a file is created (properties only)” trigger on the service account to populate the rich text content control box?

    Hi Good Day

    If your objective is to avoid assigning premium licenses to all users, I would recommend separating the flow design so that it is not directly initiated by end users. Instead, you can use a dedicated service account with a premium license to handle the premium actions.

    Users can continue updating SharePoint metadata using standard connectors. A background flow, owned and run by the service account, can then be triggered automatically (for example, when a file is created or modified) to populate the Word template using the premium connector.

    As long as the flow is not directly triggered or interacted with by end users, and all premium actions are executed under the service account, additional user licenses should not be required.

    Further to my query, I have since been informed that any user that benefits from a premium connector must also have a premium license and further research (a lazy CoPilot question) has confirmed that. So just having a single license would not work, all users that use that document would require a premium license too. Thanks Microsoft!

    In short, if a user benefits from a premium connector, they are considered a consumer of that service. Unless you have a Flow that runs under a "Service Account" (or a licensed user) to process data and then sends that information to a standard platform like Microsoft Teams or SharePoint Online (SPO), every interacting user typically needs a license.
