Help for conditional for formatting (or anything better) to allow a flow, to be approved by different people dependent on a form response.

I am new at power automate so please explain it like I am a 5 year old.

I am creating a automation of a form that then adds information to a list on SharePoint.

I made a linier flow which worked perfectly and the information (Form) was then approved by there manager.

I have gone on to expand the form to now cover multiple departments and I want to make a conditional format that allows the form to be approved and show different approval information depend on what parts are being filled out. I am not sure what I am doing wrong though so any help with be great.

I have an idea for you, but I need to know if the people who submit the form are internal, external or both? If it is just internal people, I would ditch the MS Form and start off using the SharePoint list, so you don't even need to create an item in SharePoint. Microsoft recently rolled out a new Forms feature in SharePoint lists that work a lot like MS Forms and allows you to provide people with the link to separate forms you can create in the SharePoint list, so people don't need to actually have access to the SharePoint list to submit an item.

If you can go with that approach, I would create separate workflows with a trigger condition so that there is one flow for each service. That way, each flow can be custom-tailored for each service and if you add a new choice, you just need to make a new workflow without concern that changes will affect one of the other flows you already created for the other options. If the process is mostly the same for each service, start with the one that best follows what the majority of the other services will follow. Once you have one of the workflows created that does what you need, save a copy, update the trigger condition for the next service and modify it as needed.

With the embedded conditions I see in your current flow, you will eventually have problems as the max number of nested conditions is eight.

Hi David_MA

This form is only completed by people internal. The reason I went for the single list was to keep costs down on Power automate but we also have a workforce that are not IT literate and a single form that would allow the end user to get exactly what they needed I thought was the best move.

With the embedded conditions I see in your current flow, you will eventually have problems as the max number of nested conditions is eight.(Currently we would not go behond 8 services I just do not know how to get the flow working)

I am sorry as I know you are trying to be helpful in your response and it is something we would consider in the future but not now due to the reasons I listed above.

I am not sure how to help as I would need much more information if you want to keep your existing flow. You said the flow is linear, but I see conditions and branching which is not the definition of a linear flow. The first four actions in the flow would be what is considered linear.

Since the image you upload does not show how anything is configured in the conditions or what the conditions are supposed to do, and part of what is shown in the conditions is cut off, it is difficult to determine your issue. I assume when your flow was working, it didn't have the condition. You will need to explain what the conditions do and show how they're configured.

And can you further explain what you mean by, "conditional format that allows the form to be approved and show different approval information depend on what parts are being filled out"? The image of your form shows just one question. What parts are there to fill out?
