In a model‑driven app, the standard “Approve Email” button is not customizable. Its label, email body, and behavior are controlled by the platform and can’t be changed directly.

What you can do instead (supported approach)

    1. Hide or replace the default button

    • Use the modern Command Bar designer to hide the out‑of‑box Approve Email button.
    • Add your own custom button in its place.

    2. Create a custom action
    Your custom button can:

    • Call a Power Automate flow, or
    • Call a Dataverse custom action / JavaScript.

    3. Build the email your way
In the flow or custom action:

    • Set a custom subject and body.
    • Add specific attachments (SharePoint, Dataverse notes, or static files).
    • Send the email using Outlook or Dataverse email actions.

    4. Update approval status
After sending the email, update the record status to reflect “Approved” so the business behavior stays consistent.

    Why this is required

The built‑in Approve Email button is an out‑of‑box command with no extension points. Custom behavior must be implemented through a custom command + flow/action, which is the recommended and supported pattern.

    Summary

    • ❌ You cannot rename or change the default Approve Email button
    • ✅ You can hide it and replace it with your own button
    • ✅ Custom button + Power Automate lets you control body, subject, and attachments
    • ✅ This is the clean and supported solution
