Excel data file to word report

I'm trying to create an Agent that can take data from multiple tabs within an excel document and place this data correctly into a word document that has a pre-defined layout with headers and tables.

The idea is to upload an older excel data doc and a golden example of the complete final word document example in the Agent Knowledge.
The user would then upload a new excel data doc and the Agent would create a new word document per the examples the Agent has in its knowledge.

Is this the right aproach? Or should I do it differently to ensure that the data is correctly parsed from the excel and placed into each section of the word document? Do i need triggers or other components to build this agent?

Thanks for any tips!

    Hi

Here I would use a combination of Word template with placeholders and an Agent Flow for structured data extraction.
This ensures the Excel data is mapped reliably into the correct sections of the Word document.

Your idea of using a “golden” example Word document and an old Excel file as knowledge sources is a creative, but relying solely on the AI’s interpretation of those examples may not always deliver accurate or consistent results.

    • Create a Word document template with placeholders for each data field (including table columns) to ensure data from Excel is placed correctly into the final report
    • Within an Agent Flow, you can use Excel connectors to retrieve specific cells, tables, or ranges from the Excel file. You can then pass into the Copilot prompt or directly into a Word template action.

Is your approach of using a “golden example” Word doc and Excel sheet in the agent’s knowledge base the right approach? It is a creative approach, but not the most reliable on its own.

Let me know if you need more help with building the agent!

Thanks Chiara! I was on the path of creating the Flow you had suggested, and had hoped there was an easier way to create the right output. Especially given that my excel data files are not always formatted the same way.

By asking Copilot about the best way of doing this conversion and prefill reporting, it recommended me that Phyton coding may be the best way to go for a long term, error proof solution.

    Thanks for your suggestions!
