Creating fully filled in Excel file from questionnaire template in CoPilot Studio

We have a use case for Copilot to automatically answer a security questionairre which I could use some help on.

We have a security questionnaire in Excel (template on SharePoint) where we want to scan vendor-supplied documents stored elsewhere SharePoint as part of the knowledgebase, building in public-facing websites supplied by the user and then answer the questions line by line based on the knowledgebase, filling in the answer column. At the end, the Copilot should output a filled in excel document stored with a new name. Ideally this process would be kicked off automatically from a Flow on a SharePoint List Item when a user launches it.

I'm quite stuck on this unfortunately.
  • I've created the Copilot and it is able to answer the questions from the KB when I type them in manually.
  • I've created Topics in the CoPilot to set the Vendor and public websites from the prompt. then adding in the public website URL to the KB
  • I've tried to setup an action which reads in the spreadsheet table of questions etc. line by line and then tried to execute the Copilot from within the flow, building the prompt using the question, to get an answer.

The problem is that I can't get the response from CoPilot within the Flow, only the conversation ID. This has made me wonder if my approach is right here or whether this is even possible. Potential other approaches are:
  1. Create Topics to infer the answers to the question from KB then pass this to a PA Flow Action as parameters, but as this would need to 'hard-code' the questions in the CP (I don't think I can send an array of responses to the Flow) it's not my preference, however it does seem to be more designed so that the CP kicks off the flow action and not the other way around, and that once the action is kicked off, there is no way for the flow to request more information from the CP conversation.
  2. I saw on Google that somebody created a CPS Action to email the output of the CP runs to email line by line then create another flow to pick up all the emails and enter the data in a spreadsheet. This seems really like a flimsy work around which I'd like to avoid
  3. Use HTTP to call a flow passing in a JSON payload of the answers to the questions from Copilot
  4. Use AI Builder within the flow to answer the questions, but I'm not clear on whether I should be doing this or using the CoPilot I already created, it seems like duplication.

Any suggestions from people that have already done this?

    Hi,

I think I can help, but I have just a few clarifying questions:

How many questions are in your security questionnaire and are the questions dynamic (i.e., do different questions get asked based upon some critieria)?  If they are dynamic, what criteria determines which questions get asked?

Is the only output a completed Excel file?

And then the answers to the questions that go in the final Excel file: you want the agent to find those based upon information from a public website that the user provides and your sharepoint document file?

You said you're adding the public URL to your knowledge base. Is that a document on your sharepoint document folder that contains the URLs or?

Didn't know that a flow could directly call a Copilot Bot. I thought that the way to do this was to integrate the bot into Azure Bot service to create an endpoint which can be called by a flow or to use Azure Open AI to create a bot on the knowledge base and use the endpoints from a flow.

Following this as I am interested in knowing the solution and I don't have access to Azure to test it.
