Knowledge upload

In the last two weeks, I have been experiencing issues uploading knowledge documents.

I am unable to upload them, as the documents always remain in an “In progress” status.
The file formats are CSV and PDF, which I was able to upload several months ago without any issues.

As far as I am aware, Copilot Studio does not support csv files. You should open it in Excel and save it as a .txt file. As for the PDF files, have you checked that they are text-based pdf files and not image-based pdf files. Only text-based pdf can be used. I just uploaded a couple of files to one of my agents and had no issues (a Word document and text-based pdf file).

@David_MA correct me if i'm wrong as per MS the you can upload below type of files as a knowledge source in the Agent.

Dataverse Search or ingestion services were not properly provisioned this might leads to documents stay in Processing / In progress forever Sample Post .

    Other Approaches
    1. Upload the same file with a different name
    2. Upload via SharePoint / OneDrive instead of local
Also try raising a support ticket with Microsoft-copilot-studio fundamentals-support Team for speed up the resolution and know the fixes in details.

Thanks for the info @MS.Ragavendar. I haven't had any luck attaching csv files yet though. Maybe something recently changed. That's one thing with anything Microsoft, things are always changing. Of course, it does take csv files to develop test evaluation cases, so it would make sense that it should be able to handle csv files as knowledge, too.

Copilot Studio supports CSV and PDF files as knowledge sources, but make sure each file is less than 512 MB in size. CSV is supported directly – just make sure the CSV is plain text (no password protection, no encryption and Ensure UTF‑8 encoding) and within the overall file‑size limits. For PDFs, Copilot Studio works best with text‑based PDFs (where you can select/copy the text); scanned or image‑only PDFs may not be indexed correctly unless they’ve first been converted with OCR into a searchable, text‑based PDF.

You can also try to Sign out of Copilot Studio, clear browser cache, and try again using:
    • InPrivate / Incognito mode
    • A different browser (Edge is recommended)
To know more, you can check the official documentation: Upload files as a knowledge source - Microsoft Copilot Studio | Microsoft Learn.

When knowledge documents remain stuck in “In progress,” it typically means the backend processing or indexing stage is failing.

This can be caused by file format issues (encoding, size, scanned PDFs), or more commonly, a temporary service issue in the AI ingestion pipeline.

To resolve it, test with a simple file, ensure proper formatting (UTF-8 CSV, text-based PDF), and try re-uploading.

If even simple files fail, it is likely a platform issue and may require waiting or raising a support ticket with Microsoft.
