Power Apps Access Issue – Trial Expired Error for Shared Users

(1) ShareShare
ReportReport
Posted on by 4

We are experiencing an issue with access to a Power Apps application after it has been shared with multiple users. The application owner has created a Power Apps app and shared it via link. However, some user has difficulities unable to access the App, even though they have almost the same license

  • User A (Office 365 E3 + Power Automate Free) is able to access the application successfully.
  • User B (Office 365 E3 + Microsoft Fabric Free) is unable to access the same application and receives the following error message:
“Your Power Apps Trial has expired.

Both users are assigned similar base licenses (Office 365 E3), with no Power Apps Premium license assigned

Issue:

There is an inconsistency in access behavior between users with comparable licensing. We would like to understand:

  1. Why User A is able to access the application without issue
  2. Why User B is being prompted with a trial expiration error
  3. Whether the application is using premium features (e.g., Dataverse or premium connectors) that require additional licensing
  4. If the app environment (e.g., Developer Plan) impacts accessibility for shared user
I have the same question (0)

Hi @CU10040442-1, hope you are doing well.

This usually comes down to licensing + environment, even if it looks the same on paper.

Power Automate Free and MS Fabric Free licenses should not really affect access on the app. From what I can infer from your message, it could be possible that User A still has leftover trial license to PowerApps while User B's has expired.

Microsoft assigns a Trial license when you first access any of the platforms under the Power Platform umbrella. And I am guessing User A still has his Trial license active, or at the very least, they extended their trial period.

To determine if your app is using any premium features, you can navigate to the app's details page where it shows whether your app is standard or premium. Here is how you can find your app's details:
    1. Go to PowerApps and select your environment.
    2. Navigate to Apps from the sidebar.
    3. Find the app in question and click on the vertical ellipses (...)
    4. Click on details and down there somewhere, you can check if the app is standard or premium

Standard apps can be accessed by any user that has any M365 Licenses (Business Basic, Business Premium, E3, E5, etc.) while premium apps will require a dedicated PowerApps Premium license.

A Developer Plan lets you create Developer type environments and build apps and flows with premium features and connectors, and they can be accessed by any user with a Developer Plan as well so long the app stays in a dedicated Developer environment. You can give other users access and share the app's link with them and they can access the app. As soon as the app moves to a Production environment (or even a Sandbox environment), all users would need a Premium license to access the app.

Well thank you for your suggestion mate @rezarizvii hope you're also doing well,

For the app, I can confirm that the user not using any premium feature in their app by your suggestion

As for the hypothesis that the user still has a remaining trial license, would exhausting all of their trial allocations resolve the issue? like if he spend all of their trial (currently the user already spend 2 out of 3 trial), will their access condition reset and allow them to open the app without issues with their current existing license (with only Office E3)? As I cannot find any documentation talking about this residue license information affecting user exisiting license to user Power Apps.

As for where the environment app is located, its by default located in our company default environment, but I cannot tell wether this default environment is the Developer environment or Production environment, do you have any guidance about this?

Thank you for spending your time reading this.

Hi @CU10040442-1, hope you are doing well.

Apologies for getting back at this so late.

Your situation is extremely strange. I have never personally experienced such a scenario, so I can't really comment if it would work or not.

I'd suggest you raise a Microsoft ticket and talk to a support employee. Perhaps they can guide you properly.
