Hi!

I was wondering if there is a fast way to give access to a lot of people at once without writing down 1 per 1 in the share box.
Is there a way to give the access?

    Hello,

my recommendation is to make a security group with the people in it and share the app and data sources with the security group instead, its way easier to maintain. Or maybe you already have a internal group with these people in it?

Yes. The recommended approach is to share the Power App with a group instead of individual users.

    Options are:

    1. Azure AD / Entra ID Security Group (Mostly used)
      1. Create a Security Group in Microsoft Entra ID (Azure AD).
      2. Add the 350 users to that group.
      3. Share the Power App with the group name.
This way you manage access in one place, and any new users added to the group automatically get access.
    2. Microsoft 365 Group or Distribution List
You can also share the app with a Microsoft 365 group that already contains those users.
    3. SharePoint Group (if app uses SharePoint permissions)
If users are already in a SharePoint group, you can share the app with that group.

Best practice: Use an Entra ID Security Group for scalability and easier access management.

I hope this works for you!

Instead of sharing with individuals, you should share with a Security Group or a Microsoft 365 Group.

    • How it works: You create a group once in the Microsoft 365 Admin Center (or ask your IT team to do it), add all the members there, and then simply type the Group Name into the Share box.
    • The Benefit: When someone joins or leaves the team, you just update the group membership. You don't have to touch the file or app permissions again.

Yes, instead of adding users one by one, you can use security roles in Power Apps. Assign the role to multiple users at once in your environment, and they’ll all get the same access without having to share individually.

Please follow the reference blog below for detailed steps on how to create the security group and add members.
