Our company has many internal regulation dcouments. Some general knowledge terms are used in the documents without addtional information for thoes terms. For example, there are codes such as FS251, which means Hong Kong Fire Safety Certification. Users may ask questions like 'What procedures should I follow to renew fire safety certifcation'.
If 'Use general knowledge' setting is disabled, the agent cannot find the correct document. On the other hand, if 'Use general knowledge' setting is enabled, the agent will be answering something out of our comapny regulations.
When you enable general knowledge you need to disable "web knowledge" (it the toggle just under it) to avoid web auto grounding.
Then you have a big empty text box on the the home screen of the agent call "prompt" : you could explain to the agent how to answer and clearly forbid it to answer with something not from you'r internal policy : you could use the free copilot chat to ask help for this prompt : tell it you are making a copilot studio agent, explain what you want, what you don't want, some sample and it will generate a starting prompt you could change later and past in studio.
Then to understand link between internal id and "label" you could add an excel file or texte file as a glossary to the agent knowledge : directly to agent or from a knowledge source. Each knowledge source have title and description : they are very important they are use by agent to understand the purpose of the content.
