Dataverse tenant has reached its maximum capacity

Our current Dataverse tenant has reached its maximum capacity. Could you recommend any strategies for optimizing our existing data storage, or should we consider migrating to an alternative data source?

    I believe you need to check regarding data retation policy for you company. Check which data you can clean up and what not for the release space. Another thing reagading to the space, check if there is another environment like development or UAT if can delete data to free up space too.
     
    For the data that you can't delete and keep it, you need to validate the approach the company would like to have access.

    When a customer request that I usually do following approach:
     
    • Try to free up space from non-production environments
    • Try to free up space from production environment
      • free up workflow logs
      • free up space plugin trace logs
      • free up from audit logs
    • Check which tables can be clean up with out affect long term retation and clean up
    • Apply the long term retation
      • Using OOB feature
      • SQL database
      • Azure Blob Storage

    You can leverage this to see where the majority of your storage is being used. Is most of it in Files or Logs? Files are better stored in another system like SharePoint or OneDrive, etc. Logs can be cleaned up like Michael mentioned.
