Email Triggered Based on Cells in Excel

I have an Excel sheet containing cells that display either "TRUE" or "FALSE" based on other data in the sheet. Is it possible to you use Power Automate to automatically send an email to a specified address in the Excel sheet whenever a cell changes from "TRUE" to "FALSE" upon updating the sheet?

    There are no Excel triggers that would allow you to do what you want. The only Excel trigger is for a selected row, which means someone needs to manually trigger the flow. And then there is no way to tell if the value in the cell changed.
     
    You would be better off switching to a SharePoint list. You can then trigger the flow when an item is modified. Once triggered, you can use the get changes for an item or file action to see if the true/false field was modified during the last change. If so, you could then send the e-mail.

    As David mentioned, there is no trigger to launch a flow when a cell has changed directly.  If you need to stay in Excel for business case reasons vs SharePoint Lists, understood.
     
    One way to make this work is to setup a scheduled flow that runs every 30 minutes.  When here you can effectively check if a cell is true/false (list rows present in a table) and then send an email.

    Power Automate doesn't support direct triggers based on individual cell changes. Instead, you can set up a flow that triggers when the Excel file is modified and then checks for the specific cell value change. Here's how you can achieve this:

    1. Store the Excel File:

      • Ensure your Excel file is stored in a location accessible by Power Automate, such as OneDrive for Business or SharePoint.
    2. Set Up the Excel File:

      • Create a table in your Excel sheet that includes the cells you want to monitor. Having your data in a table format makes it easier for Power Automate to reference specific cells.
    3. Add a Helper Column:

      • Introduce a new column (e.g., "Previous Value") to keep track of the cell's previous state. This will help in determining if the value has changed from "TRUE" to "FALSE".
    4. Create a Flow in Power Automate:

      • Trigger: Use the "When a file is created or modified (properties only)" trigger for the location where your Excel file is stored.
      • Action - List Rows Present in a Table: Retrieve the rows from your Excel table.
      • Action - Apply to Each: Loop through each row to check for changes.
        • Condition: Compare the current value of the cell with its previous value.
          • If the current value is "FALSE" and the previous value was "TRUE":
            • Action: Send an email to the specified address with the relevant details.
            • Action: Update the "Previous Value" column to "FALSE" to reflect the change.
          • If the condition is not met, continue to the next row.

    This approach ensures that an email is sent only when a cell's value changes from "TRUE" to "FALSE". By maintaining a "Previous Value" column, the flow can accurately detect this specific transition.
