Best approach to extract and centralize analytics for multiple Copilot Studio agents

Hi everyone,

 

I’m currently working with Microsoft Copilot Studio and have built multiple agents across my environment. I’m looking to perform a full analytics assessment across all agents and build centralized Power BI dashboards to track performance, usage, and insights.

 

My goal is to:

 

  • Consolidate analytics from all agents (not just individual agent views)

  • Capture usage metrics, conversation performance, and transcripts

  • Enable historical trend analysis beyond default retention limits

  • Build scalable Power BI dashboards for reporting and monitoring

From my research, I understand that Copilot Studio provides built-in analytics, but it seems limited for enterprise-scale reporting.

 

My questions:

 

  1. What is the best architecture to centralize analytics across multiple Copilot Studio agents?

  2. Is Dataverse the recommended primary source, or are there better alternatives (e.g., Application Insights, Log Analytics, or Purview)?

  3. What is the best way to export or stream data continuously for Power BI dashboards?

  4. Are there any recommended Power BI templates or best practices for Copilot Studio analytics?

  5. What additional data sources should I consider for a complete analysis (operational + governance + usage)?

Any guidance, architecture patterns, or real-world implementations would be really helpful.

    Hi,
     
    The data you need is already being captured, the trick is getting it out before it expires. Everything your agents do lands in the Dataverse ConversationTranscript table, and that table holds all agents in the environment, so that's your primary source. Dataverse, not App Insights or Purview.
    The catch is retention: Dataverse only keeps transcripts 30 days by default. So for trend analysis, use Azure Synapse Link for Dataverse to sync that table into a data lake (or Fabric) where you keep history as long as you want, then point Power BI at the lake. That also handles multiple environments, which a direct Dataverse connection doesn't do well.
    Before building anything by hand, grab the Copilot Studio Kit. Its Conversation KPIs solution parses the transcripts and comes with sample Power BI reports, which saves a ton of work.
    Then round it out with App Insights for telemetry and Purview for audit/governance.
    So: Dataverse as the source, Synapse Link to a lake for history and scale, Copilot Studio Kit for the parsing and dashboards. Happy to sketch the full data flow if that helps.

    built-in Copilot Studio analytics dashboards.
     
    The built-in analytics are excellent for monitoring individual agents, but they are limited when it comes to:
    • Cross-agent reporting
    • Long-term historical analysis
    • Executive dashboards
    • Governance and compliance reporting
    • Enterprise-wide adoption tracking
    If your objective is a scalable, enterprise-grade analytics platform for multiple Copilot Studio agents, the most effective approach is:
     
    Copilot Studio ->  Dataverse  -> Application Insights ->  Log Analytics ->  Power BI
     
    • Dataverse serves as the primary operational and business reporting source.
    • Application Insights provides detailed telemetry and diagnostics.
    • Log Analytics enables centralized monitoring and advanced analysis.
    • Power BI delivers executive, operational, governance, and adoption dashboards.
    This architecture provides the best balance of scalability, performance monitoring, governance, historical retention, and future readiness for enterprise AI and
     
    Copilot deployments.
