Power Automate - Using Flows

Helpppp! 

 

Im not sure where to even start! I work in a high school and we want to send out progress reviews to students parents as a email with the attached progress review (a PDF which is going to be called the students name) - Can this be automated using flow some how?

    Is there a way to have the attachments in a library on sharepoint (or else where) instead of in the same list as we have around 1500 students and manually adding each one will be a long process and progress reivews change yearly so that means we will have to add it manually every year I was hope flow could make it slighly less time consuming.

    Hi @AB1 ,

     

    You could use Button as a trigger so that you can manually trigger Flow by clicking the button on MS Flow app.

    Or click Run now to manually trigger Flow:

    Regarding the import of pdf files, it is recommended to use manual import files, which can ensure the accuracy of the files and avoid the pdf files and students do not correspond.

    Thank you for your response! I will give this ago, but instead of a Recurrence trigger is it possible to do it as a manual one as I have just found out that they go out at different dates each year also is there an easy way to import each student corresponding to a separate pdf file to a sharepoint list. 

     

    I know its drag and drop but with attached PDFs im not sure how to import this.

    Hi @AB1 ,

     

    You could use Recurrence as a trigger to trigger Flow every three months.

    I assume that each student corresponds to a separate pdf file, and each student corresponds to a separate item, you could consider storing the PDF file in list item-attachment.

    The emails I can put in a sharepoint list. 

     

    The PDFs will be the students names and the emails will be the parents but in a sharepoint list is it possible to have a column next to the emails the students name? (so that the PDFs which will be the students name be linked to the students name in the sharepoint list which will be next to the parent email)

     

    The PDFs I can aloo store in sharepoint. 

     

    I would like the emails to go out automaticially all at once (only goes out every 3 months but I would like to click a button to send them all out or something similar)

    @AB1 :

     

    This process can be automated using Flow.

    A few questions:

    1. You'll need a list of email addresses - where will you store them (SharePoint woiuld be a good choice)
    2. You'll need a link between the pdf files and the email address - how can they be matched up?
    3. Where will the pdf files be stored? (SharePoint would be a good choice)
    4. Do you want the emails to go out automatically?
    5. Do you want the emails to go out all at once?
