Create a flow for RFI

Hi,

 

i try to find the answer for about 2 and a half day now...

 

how can i build a flow that when the document (''form") is create the manager received an email that he received a request for information, he have to check the question and find the answer, so after he wrote the answer i want the flow to send an email to the one who ask the question.

 

Is that possible or we have to do it by mail and try to keep track of all the RFI when they don't always put the document controller in cc... i would love to just have like a form that when someone fill it it goes in a library and start the flow before the answer is send in a pdf copy by mail (yeah i know big dream).

    Hello,

    I was working on a test flow for this scenario to try. So there are a lot of factors that play into this. I During my testing for this use-case, I decided to make two Flows. The first would be triggered when the Form has a response posted, it gets details from the response user and for my testing, it creates a SharePoint Online List item. You could probably customize a bit deeper for your use case, but since SharePoint has a trigger for when an item is created, I think it will help streamline the process.

    The next flow would be triggered by the item being created. This is where you could pull the Form information posted in the SharePoint. I think this should help accomplish your second ask that said, "I would love to just have like a form that when someone fill it it goes in a library and start the flow before the answer is send in a pdf copy by mail (yeah i know big dream)" As well.

    I would probably recommend doing this on a service account as well. You will need send as privileges to send an email on behalf of users who are not the connection owners if that is what you are wanting, so a service account with those privileges are the best way to do this without too many security implications.

    This is just an outline of a possible scenario to accomplish this task that you could try. If you would like, I can also attach a few screenshots of my basic test flows for you to review. Just let me know.

    Hi,

     

    with what you proposed to me when for example a subcontractor have a question He fill the RFI form template with his question, the RFI that have been create will start the workflow that will send the notification to the manager to tell him that he have a question to answer, when he answered the question an email will send (a pdf or just a notification) to the original asker that the question have been answered?

    We decide to let this idea away because we are working with companies senior who are not able ( dont want to) use this kind of thing.
