Managing Connections

I'm not sure where this question fits into the existing discussions, so please forgive me if it belongs somewhere else. 

 

My question is about connections.  I am the SharePoint (and Flow) administrator for my company, but I am not a manager nor am i an actor in any of the workflows i create.  However, the flows and their permissions require me to be signed in to O365. To give an example. One of my workflows is a Leaver's Checklist that I created for our HR Department; essentially it is a series of voting emails asking line manager, security manager, asset manager, etc to accomplish and acknowledge required steps when an employee leaves the company. However, the flow requires MY (as flow creator) connection, yet I do not have permissions to send emails on behalf of others, so all the emails appear to come from me (not the HR Manager), leading to questions from senior management as to why "I" am sending the emails at all?!

 

So. Is it possible to use something other than my own personal connection when creating flows? Or, alternatively, can I create the flow and then reassign the connections to the specific manager (e.g. HR Manager for the Leaver's workflow)...

    Hi @Anonymous,

     

    I understand your difficulty, but the sender of the email generated by Send an email action is the account that depends on the connection.

    • You could consider configuring a separate Flow for the user of a separate department, and then use the account of the relevant person to configure the connection instead of using yours.
    • Configure Team Flow, then share the Flow with the corresponding Manager and let them change the connection.
    • The second option, if you don't want the sender of each email to be you, you could consider using shared mailbox and configure Send an email from a shared mailbox action, so that the emails are only from the shared mailbox.

    Thank you for you quick reply, which is greatly appreciated.

     

    Please, can you advise if this is something that the Flow Developers are looking into? I cannot be alone in my woes? Flow is so complicated that it needs a specialist developer and - by nature - the developer is usually not the end user? 

     

    Failing that, i will have to teach a very busy manager how to amend the flow in her favour...

    Hi @Anonymous

    You can avoid teaching your manager anything 🙂 You can create the connection using HR managers account.

    Also, as @v-bacao-msft said, you can create an account designed especially for flows and login with it, but personally I prefer writing at the start of the mail This is an automatically generated mail at the request of "Created by name" - even that there is the field "Requestor".
