Maximum Number of Runs and Maximum Flow Frequency

Good Day,

 

I am trying to get an understanding of how the Maximum Number of Flow Runs and Maximum frequencies work, I have read the documentation and a number of other threads and really nothing clarifies things.

 

Our scenario is this -

I am a delegated admin on a customers tenant and as such do not have a licence on their tenant, they are in the process of migrating to Office 365 and currently have 1x Business Premium account and 3x Business Essentials accounts as they are just starting to use SharePoint (not gone live yet) which is where Flow will be utilised to create items in Outlook and vice versa.

 

The questions I have are -

1) My understanding is that with the above accounts they currently have 8000 Flows/month, is this correct?

2) If the flows usage is assigned to the Flow Author how does this work if I as the Delegated Admin Author the Flows and yet I am in effect unlicensed?

3) With regards to the Flow frequency I understand this is 5 minutes with the plans they are on however I dont really understand what this means, I have seen it explained as -

"The maximum flow recurrence period is per flow, so if you have an o365 license and 10 flows, each of the 10 flows will perform their checks every 5 minutes. To put that another way, that would be 10 checks every 5 minutes (1 per flow)"

But in all honesty that doesnt make any sense, can you explain it based on my example below please?

 

I create a Flow to check when a new item is created in a SharePoint list and then create an item in a users Office 365 calendar.

I create another Flow to check when an item is created in a users Office 365 calendar and then create an item in a Sharepoint list.

I create another Flow to check when an item is updated in a SharePoint list and then update an item in a users Office 365 Calendar.

I create another Flow to check when an item is updated in a users Office 365 calendar and then update an item in a SharePoint list.

 

In this scenario I have 4 flows so on this basis is that 4 checks every 5 minutes? What if during that 5 minute period 2 items are created in the SharePoint list, 2 items are updated in the Sharepoint list, 2 items are created in the users Office 365 calendar and 2 items are updated in the users Office 365 calendar? Is it still 4 checks and 8 runs?

What if I have say 100 flows created, do they all check every 5 minutes and then only run if the 1st condition is met, so say 1 of them may run 50 times and the other 99 not run at all???

    Also a further question that has struck me, if we wish to decrease the Maximum flow frequency to say 1 minute, we need to purchase a Flow Plan 2 licence.

    But do we need a Flow Plan 2 licence per user? Or just one per tenant? If just one does the Maximum flow frequency of 1 minute only then apply to Flows Authored by the user the Flow Plan 2 Licence or all Flows on the tenant no matter the Author?
