Create questionnaire that is sent automatically at the end of a shift

Hi,

 

I'm looking for a way to create a workflow on Power Automate, that works the following way:

 

1. A team 1 member takes an Open Shift in Teams

2. Once the shift has ended (there is a predefined begin and end time for the shift), he receives a link to complete a form, on Microsoft Forms or other

3. If he doesn't complete the form, he receives a reminder every following day until completion

4. Once he completes the form, if a specific question has been answer as "Yes", team 2 receives a notification that a new answer was submitted. 

 

If someone could help me with that, it's my first time working with Power Automate, so I'm a complete Newby.

    This isn't complete - but covers off 1 and 2 at least. I'll keep going on the rest of it tomorrow and see if can get what you want - but need to understand your requirement a bit more first.

     

    Questions:

    • How long is each shift (approximately)?
    • Can the user end up with multiple forms outstanding for different shifts?
    • Is it the same form they need to fill out each time?

     

    The flow below will wait for a new shift to be created (assigned to a user), then:

    • Get the Shift that was created (more info than what the trigger itself provides)
    • Get the user who was assigned the shift
    • Delay until the end of the shift
    • Send an email with a link to the form

     

    Note that in the trigger When a Shift is created, updated or deleted, we only want to run the flow on created, so I've put a trigger condition on it as so:

    For the rest of it I'm thinking a Do until containing Delay and Get items action(s) and a variable to check if the user has completed the form but depends on your answers to the questions.

    Firstly, thanks for all of your help. I really appreciate it.

     

    To clarify a little bit more, I work with 2 teams, Team 1 is the "Operators" and Team 2 is "Admin".

    - At the end of the week, Admin creates Open Shifts for the following week on Teams Shift. The shifts always vary from week to week, be it in length or time of day or quantity.

    - Then Operators select some of the available Open Shifts, depending on their own availabilities during the week.

    - They do their shift 

    - Once they have finished, I would like, as previously explained, that they receive a link to a standardized form that they must complete, if not, they should receive a reminder once a day until it's completed. However, to answer your question, given that they may take multiple shifts, they would need to submit a form each time they complete the shift, even though it's the same for. It required by our Admin team.

    - Finally, once the form is submitted, if for a specific Yes or No question, they answer Yes, then the Admin team receives a notification, Teams or Outlook or both.
