Power Automate Approval Flow

Hi, team,

 

I have made an approval flow to approve HR documents such as rules of procedure, NDA, etc. The main reason why I wanted approval flow is that I want to have all documents in one place and see the names of employees who got acquainted with the documents. The main problem I ran into is starting approval for employees in the future. Now I have five documents which must be approved by all employees. I will start flow now, all now working employees will approve it. But when new employees will be hired, I will need to start new approvals. And here I see the problem – if I repeat request for already uploaded documents, all employees will receive approval request one more time (and every time when new employee will be hired). If I upload the same five documents and start approval just for new employees, everything will lose its meaning because instead of five different documents there will be 5xN (where N is new employee number).

If there are any possibilities to have those five documents and just resent approval request when every new employee is hired, but save approvers names from the very first approval request?

    Just to confirm, you only want to sent approval request to new employees and also you don't need to upload same documents again to the folder.

    Right, I want to have in folder same five documents and start approval every new employee is hired, but I need to know who previously approved it.

    I would say keep a sharepoint list/excel file as data source for keeping details of those who has previously approved the approval 🙂
