Clarification on Flow Owner

Hi,

Currently, I built an approval flow and I had questions:

 

1) Do I need to change the SharePoint properties (Site address, ID etc.) in the flow after my colleague create a copy of the flow?

(Example: "John" copied the flow that I created as he just wants a copy of the flow and he also using the same SharePoint site and list)

 

2) What if the owner of the flow does not work on the flow anymore.

 

For example, I created a flow in my company. When I resign, my email account will be removed or disabled in the company and I had shared the flow to my colleagues ("John"). So I want "John" to take over the flow, my questions are:

 

  1. Do I need to tell "John" to create a copy of the flow and make all the connections by using his email account?
  2. If "John" want to use other colleagues' email address ("Andy") and "Andy" is not the owner or co-owner of the flow, can "John" still use "Andy" email account to make a connection (Example: "John" use "Andy" email account to make a connection to outlook 365)

I hope I can get the answer as soon as possible.

    it is good practice to use a generic service email id not user specific email id.

    The tenant admin can take over the flow and assign new owners. In this case flow won't be disabled. The flows will start failing due invalid credentials.

    if your flow is a team flow then you can share it with team-https://docs.microsoft.com/en-us/power-automate/create-team-flows

    For quick reference, you can click on share icon this will give you owner info where you can add additional owner for your flows. For specific connection, you can create new connection for each action.
