User name associated to the creation of a Form for approval and the creation of a Sharepoint List Item is incorrect

Hello,

I have created the following Flow: When a new response is submitted from Microsoft Forms, an approval process is initiated. If approved, the response is recorded as a new item in a SharePoint list.

 

The challenge I am encountering is that the Teams message sent to the approver indicates that I am the requester even when the Microsoft Forms was not submitted by me (see screenshot below).

 

The same happens when the Sharepoint list item is created. The notification e-mail informing the users that the item has been created indicates that I have created the item when in reality, a different user has created the item.

 

What do I need to change so that Approvals Team message shows the user who has completed the Microsoft Form that initiated the request/ flow in the section "Requested by" (see below) ?

 

Similarly, what do I need to change so that the notification e-mail when a Sharepoint List item is created shows the user responsible for the action and not me?

    @CarolinaSanchez yes, by default this is how Power Automate works and is because of the connections you created to "Approvals" and "Send email".  Each connection runs as you so you need to configure them to be as someone else.  

     

    First for your approval, if you click Show advanced options in the Approval action there is an field called Requestor when you can specify the email address of the person which will override your name:

    Sending an email is not so simple and depends on how you do it.  If you use the Mail action, it doesn't go from an internal Exchange account and the From is a generic "Microsoft Power Automate / Power Apps" display name.  If you want to use the Outlook send an email actions you have 3 options:

     

    1. Create and use a service account with a mailbox that functions as a generic user and creation an Outlook connection in Flow as this service account user, behaving like a normal user but whose name might be Flow Email or something.
    2. Do the same as above, but make the outlook connection as you, but configure the From on the outlook connector.  This requires you have Send on behalf permission of the user it should come from.

    3. Create a shared mailbox instead, add yourself as a member, and use the Send email from shared mailbox.  

    Generally I see folks doing #1 or #3.  Hope it was helpful, but reply if you need more assistance.
