Issue with version label embedded as a quick part in a SharePoint word template that is being modified by a flow and saved in a new library.

This thread initially started in the SharePoint forum but after some back and forth I was advised to post my issue in the Power Automate forum since my problem is only relevant once the automated flow activates. Below are screen captures of the full thread which details the problem, some background on what I'm trying to achieve and a break down of my actual flow.

SharePoint Label to Embed Version # In Word Doc Having an Issue When Running Flow to Create New Doc from Template

The document below is stored in a shared document library which has version control. I was able to embed the version number into the header of the template with a quick part label after setting it up through the information management policy settings in the library settings. This feature is working correctly including with minor/major versions.

I have a SharePoint list which uses a power automate flow to pull the template above, when prompted, and it auto populates several quick part fields from data input in the list form and saves the file in a new library called NCRs. The quick parts populated metadata and the action of saving the document in the new library is all working except for the version label.

 

For some reason, the version label field is always showing a rev behind the file in my template which is saved and controlled on the QMS Documents library (above). I have even input and saved new data into the document template and verified that it is present in the new file saved in the NCRs library after adding a new item to my list and running the flow. This tells me the flow is pulling the correct template file but there is a disconnect with the version label.

I am not sure if my issue is related to the flow, the template or an issue with settings in one of my libraries.

Hi John Mitchell,

 

As per your description, it seems issue (version label field) occur when you run Microsoft Flow Power Automate to pull the template in you document library (NCRs). However, you are able to embed the version number into the header of the template with a quick part label in Word document to add the Version number in the Word. Your SharePoint online configure in both SharePoint and your Word document is correct.

For example:

1.Click on Settings > Document Library Settings> Versioning settings and you make sure that you’re either having it “create major versions” or “create major and minor (draft) versions”.

2.Click on “Information management policy settings” > Click on the content type you want to apply the policy > Check the “Enable Labels” box > Type {Version} into the “Label format” box > OK.

 

In new Word document, go to Insert > Quick Parts > Document Property > Label. > The version label will show up in the document.

 

Since you mentioned, issue also happened even new file saved in your document library when you add a new item to list and running the flow. I think it might be possible issue related with your Microsoft Flow Power Automate, to check from my side, if you don’t mind could you please share with us your Microsoft Flow for our reference and after test I will verify the result with you.

Hello Waqas,

 

Thank you for your help. I verified the versioning settings in my QMS Documents library (which stores my template file) and also confirmed that the template file has the quick part label applied correctly and it syncs with the library column. I also confirmed that the link is dynamic in so much that I edited the template multiple times and post verified that the label updates and aligns to the library automatically.

 

I agree that the problem is likely in my flow, during which I am generating a new file (from template in QMS Documents library to NCRs library) after being prompted by a new list item created in NCR Log. The flow has no visible errors and, as I mentioned in my original post, I have verified that multiple quick part fields are updating during the flow including the version label but for some reason it is always a version behind the current one in the template in my QMS Documents library.

 

I tried to export my flow but realized that I cannot attach a file to this reply. Instead, I have screen captured the Flow and pasted it below:
