How Can I send the PDF generated after an approval in approval app via automated email.

I am encountering an issue while automating an approval process using Power Automate.

After the approval process is completed, the Approval app in Microsoft Teams provides an option to download the approval summary as a PDF. However, I want this PDF to be sent automatically as an email attachment through Power Automate. Unfortunately, I have not been able to find a way to accomplish this.

    I don' think so this would be possible.

    however, after the approval is completed, collect the approval information (outcome, approver, comments and date and Item ID )

    • create a html layout and place the parameters.
    • use onedrive to convert html to pdf
    • send the pdf to email.

    Hi,

    Option 1: Recreate Your Own PDF Summary in Power Automate

    Since Microsoft doesn’t expose the default PDF:

    1. Use Power Automate to manually build your own summary.

    2. Generate a custom HTML version of the approval content.

    3. Convert that HTML to PDF.

    4. Attach and send via email.

     Steps:

    1. After approval completes, collect:

      • Approval outcome

      • Comments

      • Approver's name

      • Date

    2. Create HTML summary using a Compose action:

      <html>
      <body>
      <h2>Approval Summary</h2>
      <p><strong>Title:</strong> @{triggerOutputs()?['body/title']}</p>
      <p><strong>Requested by:</strong> @{triggerOutputs()?['body/requestor']}</p>
      <p><strong>Response:</strong> @{outputs('Wait_for_an_approval')?['body/outcome']}</p>
      <p><strong>Comments:</strong> @{outputs('Wait_for_an_approval')?['body/comments']}</p>
      </body>
      </html>

    3. Use OneDrive for Business:

      • Create file: Save the HTML to OneDrive.

      • Convert file: Use "Convert file" to change HTML → PDF.

      • Get file content.

      •
      Send email with the PDF as attachment using Send an email (V2).

    4.

     Option 2: Use Approvals in Microsoft Lists or SharePoint + Flow

    If your approvals are tied to items in SharePoint or Microsoft Lists:

    • Use metadata + Power Automate to store the approval details.

    • Trigger your own summary generation when approval completes.

    You still use Power Automate to:

    • Track approval outcome

    • Pull metadata

    • Generate PDF summary

    • Send via email

    If I have answered your question, please mark it as the preferred solution ✅ . If you like my response, please give it a Thumbs Up 👍.
    Regards,
    Riyaz
