Power Automate Licensing Questions

Hello,

We need to create several automations using Microsoft's Power Automate, such as sharing flows with automations created with other users who do not have any Power Automate account, providing a link on a web page so that any user even without a power automate account can benefit from and use that flow/automation. What Power Automate Plan do you recommend, taking into account that only 1 or 2 users will have a power automate account and pay to create the automations, but then they can be made available and used by other users without having to have a Power Automate account/License.

    The difference between premium and standard connectors is based on what they connect to, not the features that are available. For example, connecting to a SharePoint list or an Excel Table is a standard connector. Connecting to a Dataverse Table or a SQL database is a premium connector.

    This premium connectors what advantage the bring compared to the standard conectors.
     
    I just want to make it possible for any user without a premium account to run the flows I create, either by clicking on a link or in some other way.

    Desktop flows are covered by the Windows 10 or Windows 11 license and you don't need a Power Automate license. The only time you need a Power Automate license for desktop flows is when you want to run them unattended from a Cloud flow or use a Premium connector.  For cloud flows you can create them with standard connectors using just an Office 365 license. The Power Automate Premium license will let you create cloud flows with Premium Connectors.

    The original question seems to be in reference to creating Cloud flows since it talks about triggering them using a link on a web page.  But many of the answers are for Power Automate Desktop flows. The licensing is different. could you please clarify which you are asking about Cloud flows or desktop flows?

    Hi Fernando,
     
    You can create personal automations for free with your personal Microsoft account, this will not cause any charges to do an automation on your own machine.  But if the case is having multiple users and you need to share the flow with other users, then need Power Automate premium license which cost around $15 for a user/month, this license will help to share your flow with others. This license would be capable of running Attended RPA BOT.
     
    The user will also be able to share the flow with other users from Shared with Me tab in Power Automate Cloud portal. If you need to run your bots in unattended mode, you can purchase a Power Automate process license for $150 per bot. You can have two instances in the host machine at the same time. This could give you the freedom of running the process parallel at a time.
     
     
    And if you need an Azure Virtual Machine along with Power Automate it would cost around $215 for a BOT/month.

    You need to have 15$ license power automate license. If you are using only cloud flow, then it has multiple thread, so you can configure with 2 users and run the flow in multiple machine as it is on cloud only.

    But in case you are using desktop flow where in you need to integrate with application then you need to have premium license as mentioned by Deenuji

    If you want to create a flow for free for personal use, any user can create their automation and run it from their own machine without any charges from Microsoft.
     
    However, in scenarios involving multiple users, you would need to purchase a Power Automate premium license to share your flow with others, which costs $15 per user. Additionally, the end user must also have this license so that when you share your developed flow, it will appear in their "Shared with me" tab under the Power Automate cloud portal.
     
     
    As mentioned by Pstork1, In case if you require to run your bots in unattended mode then you can buy power automate process license($150 per bot) .

    Flows that are triggered manually by clicking a link on a web page will always run in the security context of the person who clicks the link. That person will need an appropriate Power Automate license to run the flow. Only flows that trigger automatically based on events, like when an item is created in a SharePoint list, or recurrence flows that run on a schedule can run using only the maker's license.  The one potential license that covers your scenario is the Power Automate process license.
