Moving word files with quick parts from one library to another

Hello!

I have an issue with quick parts in word and am wondering if anyone has some tips on how to handle them.

The idea is that a user will input information about a project into a list. That triggers a flow which will create items in 3 separate lists (meant for 1 document each). That information is then used to create a word file with quick parts in 3 separate libraries and populate them with the info from the 3 lists. That works perfectly.

However, in the next step I am trying to get all of these documents and move them to another Library (Project library). I made sure to include all the columns from the other 3 libraries there, and once the files are moved I can see the values in the library, but once I open the word file, the quick parts are again empty.

I even tried to uppdate the file propreties again after copying the file to the project library, but that still leaves the parts empty.

Any ideas? I would really appreciate them 🙂

Hello, i tried it with the second step, but it doesnt work... I have two document librarys, in the first the quick parts are shown perfect. Then i start an approval workflow, after the document was approved, the file was copied to the second document library.
I tried it with update file content twice but in the second library i get only "old" information in the quick parts -> like the information are stored in a cache an it shows only these information

    Hi @sarahcomtois !

I found two ways to deal with it.

First is to convert the files in the library with quick parts to PDF, saving the PDF in the same library and then moving them to the second library, all via flow.

The second one is to uppdate file content twice, once when the quick parts are filled in and then again when the file is copied to the second library.

I hope at least one helps! Do let me know if you would like some screenshots!

Hi @SanjaKan did you ever solve for this? I am having the same issue on my end. Trying to copy a file from one library that is populated with QuickParts, when copied to the next library it opens, but QuickParts are empty. I have tried everything it feels like.

Hey @Rhiassuring , thanks for the reply!

I have been oppening everything in the actuall Word App, and there i see the quickl parts, but they dont have any information in them. When I do the same thing in my origial library - it works perfectly fine.

I have seen the posts you shared, but my issue feels a bit different, since I dont want links, I want the .docx file to be copied, so that I can have all 30 files I need in one library and easy to download.

Right now my flow looks as follows:

    1. When an item in list Fire project is saved

    2. Get item

    3. Save the object in Dok 1 list

    4. Initiate a variable to make a folder with sub folders

    5. Apply to all: save a new folder

    6. Get file content from a Template in Dok 1 library

    7. Save a new file in Dok 1 library

    8. Update file propreties

Up untill there - 0 issues

Then i tried to copy and update the file again in a Project Library.

I am VERY new to this so I am probably missunderstanding something very obvious here hehe

    Hi there,

Question for you - in the library you're moving to, do the quick parts show the related information if you open in the actual Word app? Or, are they just empty when you're viewing in the browser?

I ask because I am looking at this related topic:

    https://powerusers.microsoft.com/t5/Building-Flows/Quick-Parts-built-word-files-do-not-work-on-Word-Online/m-p/964596

Thought it might be a good place to start.

    Cheers,

    Rhia
