Need help on a automated flow to link with department matrix

I'm a newbie in Power Automate, trying to make the a form allow users that without organization emails to log in and request leave approval. However, when I set in Microsoft Forms setting from "People in organization only" "to "anyone," the "Get user profile" action becomes unusable. Therefore, my idea is to create a department matrix to collect department manager info. This way, users don't need to use the "reports to" field; instead, they can select their department and have the approval assigned to their respective department heads. I want to know how to link the department matrix form with the Leave Application Form in Power Automate and set up the flow.

    Good Morning!!

     

    Apologies "-) you keep saying linking Forms, but you don't link forms, you link lists (Directly or Indirectly) however I believe I understand what you want.

     

    If I understand correctly, you want a user to use a Microsoft Form, to submit a request for leave. You want them to be able to select their Department and in doing so, you can use the Department selected in the request form, to find the proper Row in the Department List in SharePoint, and use that Manager's Details (from the Approvers Column) to kick off the Approval, correct?

     

    Ok I would do this 

     

    1. Add a Choice field on the Request form that matches the String value(Title) in your matrix

    2. Trigger the Flow (as you already have)

    3. Use Get Response Details

    4. Verify that the incoming "Choice Value" is not null / Blank

    5. Use a Get Items (SharePoint), List (Department Matrix), and in the Filter, do

    Title eq 'Insert Choice Text from Form'

     

    6. Add a Condition to validate that the Length(Add Dynamic value property of Get Items here ) > 0

     

    Now you should have the Row which has your correct approvers.

     

    7. Use your People column to populate the Who it goes too

     

    and done
