Sharepoint list to automatically email assigned person to remind about due date

Hello

 

I have a sharepoint list populated with items that require actioning on certain dates.

 

I'd like to be able to get flow to send out an automated email say 30 days prior to the due date to remind people to action the item.

 

I tried using the built in flow reminder function but it only emails myself a reminder when I'd like it to go to the assigned person.

 

I've played around with the flow but I cannot for the life of me work out how to make it do that.

 

The Sharepoint list column headers are as follows:

TASK - PERSON PREPARING - REVIEW DATE - DUE DATE - STAUS - COMMENTS

 

My current flow looks as follows:

I managed to get the flow to send to other people but it was sending them all of the items due within that timeframe and not just the line items that are assigned to them.

 

I would appreciate anyones help!

    Hi @Anonymous ,

     

    From your description, it seems that you would like to send out a reminder email to assigned users 30 days prior to the due date to remind them to act on the item?

     

    Instead of using the built in flow reminder function, please try if the following flow will work for you.

     

    Add the button trigger. In your scenario, please just replace it with Recurrence.

     

    Get items from the SharePoint list.

     

    Add a condition to check if the due date equal to Today’s date plus 30 days with the following functions:

     

    formatDateTime(items('Apply_to_each')?['DueDate'],'yyyy-MM-dd')
    
    is equal to
    
    addDays(utcNow(),30,'yyyy-MM-dd')

     

     

    Under if yes branch, send out the reminder email.

    Thanks for your help Mabel - @v-yamao-msft

     

    I received an error on my first run. I thought it was because I am in a locale using dd-MM-yyyy so I tried changing it to that and I got the same error.

     

    Then I thought it was because my column name was 'Due Date' with a space so I changed that too. No luck.

    Actually @v-yamao-msft , would it be easier if I got the flow to send the email based from the previous column "Review date" and set that 30 days prior to the "Due Date" instead of asking it send 30 days prior to "Due Date"?

     

    I suppose then I could make it only email the necessary items and not ones that aren't important.

    I can't get that to work either,

     

    Is it another condition?

     

    If "Review Date:" is equal to "UTC now" then send email?

     

    Not sure what I'm doing wrong now. I have a feeling it's timezone related.

    It was timezone/date and time related.
