Approval mails - long runtime

Hi community,

we have a few approval power automate processes up and running in our organization.
For the most part these approval processes run fast and smooth.

But on a few days/runs the approval mails that are send by approval PA processes are taking way to much time. The same process generates an approval mail that takes a 1 minute or 50 minutes to arrive in approvers mailbox on the same day. There is no systematic to it and this flow behavior suddenly starts to appear and then disappear again for a period of time.

The health status in the microsoft 365 admin center of power automate is fine for my region so I would expect to have a fast approval mails all the time.

Why do some approval mails take longer to arrive then others even on the same day, same time and same process?

Any ideas regarding this topic that might help?

We made some progress regarding this topic...

We discovered that just the approval mails took a long time to arrive sometimes. We tested it with the same process, same day, same timeframe (withing 10 minutes), multiple runs. Some mails arrive directly in the approvers mailbox after a few seconds others took over 50 minutes to arrive.

But in contrast to the irregular receiving times of the approval mails - approvals arrive quickly at the approvers side in the approval section of power automate no matter what.

So it seems we have a problem here with the email receiving of some approval mails.

The runtime of approval flows suddenly normalized without changing anything on our side.

Seems like it was a temporary problem with the approval service that might be solved for now.

The problem of long running approval mails start to appear again for us. We got flow runs on the same day where some approval mails in the same process take up to 1 Hour to arrive in the mailbox of the approver. The error of long runtimes presits now since a few days. The problem arose suddenly as it disappeared last time, without any changes on our side.

MS Ticket support analyzed our flow and flow runs without finding any issues with it.

We are using the "Start and wait for approval" action.

We are by far not hitting any trotting limit as described for the approval connector:
    https://learn.microsoft.com/en-us/connectors/approvals/

We checked our license and we are fine here without touching any of our limits.

I found some older posts that also describe the same problem, without any real solution.

I'm desperate regarding this issue please try to fix it Microsoft.

    I've solved the problem.

All affected clients where running an relatively old O356 Version 1902.

Updating the O365 Version to Version 2210 + solved the problem for us.
Non of the updated clients ever had a problem again with long running approval flows.

Very simple solution, you just need to know. 🙂

    Cheers
