Dynamic approval for MS Forms request

Hi, I am pretty new with PowerAutomate and struggling with an current flow. I have already searched in the community, but still get an error message. So here is what I want:

 

  1. MS Forms is filled and one or more countries are selected
  2. A lookup from a sharepoint file identifies how is the approver of the selected country/countries (several approvers possible)
  3. the approval should be started to each of the approver (in parallel)
  4. Result should be send.

 

Here is the flow:

But I get an error message in Nr. 6: the assigned to field is either empty or missing. Dustbin2021_4-1619789289732.png

The country in the sharepoint file matches the country in the forms.

 

Any idea?

    Hi @Dustbin2021 

     

    It looks like your approval email variable is empty.  You collect this data from an apply to each using the values from the get items.  You want to check that the value you have selected in the update variable action contains data.  If you open the history of the run, does the update variable action display an email address?  If not, you need to work out why?  Is this a dynamic value?  Have you chosen the correct one?  Is the email empty on the selected item?

    Hi @DamoBird365,

    I am not sure if this is the correct history you have meant. Looking at the Get Item, the country I have selected in the forms is ok (Input):

    I am not sure if in GetItem the Email Address should be shown under Output.

    Unfortunately I can´t see the details of the set variable as it´s hidden:

    Plan is to get a dynamic value. So if I enter Spain, the approver for Spain should be selected from the SharePoint list.

    Hi @Dustbin2021 

     

    if your apply to each won’t expand it means you’ve not retrieved any data from your get item. I would guess that your filter is not matching. You can check the output of the get item in the history.

     

    your filter would more likely need to be 

    country eq ‘Spain’ 

    can you try that without the dynamic value?

     

    then I would suggest you use the replace expression to tidy up your dynamic value from the form to remove the [“\ and \”].

    Hi Damien,

     

    seems to be, that Get Item is not working, yes. I have changed the filter to country eq 'Spain', but still the flow is not working. The same error comes up.  I have not often used a share point file. But this looks ok from my point of view:

    This is just an example with two countries. In realitiy there are much more.

    If you remove the filter for now and run the get items and look back at the history, you will be able to see the data being returned.  The thing you need to capture is the column name.  Could this have been called something different previously? 

     

    If you go into SharePoint, click on your list, select the settings cog (top right), go to list settings and then scroll down to columns, select the column called country and then look at the url.

     

    You need to check the field name here:

    Ok, I think we are getting closer ;-). The issue indeed was the naming of the share point column. The URL sayd "Title" and I have used "Country". Now testing the flow with >Title eq 'Spain'< the user was chosen. So if I got it right, to make it dynamically I need to remove the [“\ and \”]. How do I do that?
