Power Automate - Using Flows

Email attachments unreadable

I have been creating a automated system for requesting Permits to Work (PTW) within an organisation. 

 

this system consists of 2 forms, 2 power automate flows and a sharepoint page with a spreadsheet and a word template saved in it that will be used by the flow. 

 

a brief explanation of both flows and what they do: 

 

Flow 1 is kicked off when a response is submitted to form 1, this is a relatively simple flow that adds a row into the before mentioned spreadsheet on a sharepoint page, and it then send an email to a someone with links to the spreadsheet and the second form that will now need completing. (its worth noting the spreadsheet table has a column for 'PTW ID' that generates a number based off formula (so the ID is created by the spreadsheet not power automate) the formula that generates this is '=row()-1'

 

Flow 2 is kicked off by a new response submission on Form 2. This is the flow I have a problem with and its a bit more complicated. Part of form 2 is to input the PTW ID from the spreadsheet mentioned above. i then use the 'update a row' excel action with the PTW ID column as the key column and then the forms response for the PTW ID question to get this to update the needed column in excel (this works fine).

This same flow then uses the 'get a row' action to get the info from the very same row it just updated and then it uses 'populate a MS word template' and inputs all the info from collected by both forms and put into the spreadsheet into this word doc. I have then used the 'create file' sharepoint action to save this word doc in the sharepoint. (this also works fine)

Finally we get to the part I'm having an issue with, i want to attach this newly created word doc to an email and send that off to someone as either a .pdf or word doc. I have tried every single way i can think of to do this - I've tested both .pdf's and word docs and tried various ways of creating and attaching these no matte what I try the attachment is not readable when received.

 

i get this error :

the method im trying to do this via currently is by using the sharepoint actions 'get file content using path' & 'get file metadata' to collect the content and name of the word doc saved in the sharepiont.

i have also tried various other ways such as using the output of the 'populate a MS word template' as the file content and a dif name. Ive also tried saving the word doc to onedrive and using the one drive actions to get the contect / data, aswell as convering it to a .pdf from one drive. 

im not really sure what else to try and as we hope to send this word document externally we cant just send the link to the word doc in the sharepoint. any help would be greatly appreciated.
