Clarity on Premium Licensing - do all users need a Premium License for the following...

Hi all,

As a preface, both I and my organisation are very new to the world of 365 and all the additional tools it provides. I've been building my knowledge of Power Automate, and have successfully built some flows, but I'm nowhere near an expert in the matter.

I have a worflow I'd like to build, and I'm confident I can technically pull it off based on my current experience level, but what I'm unable to get clarity on are the licensing requirements. I've searched this forum and elsewhere online and can't seem to find a definitive answer. If anyone can take a look at my proposed flow below and let me know the following, it would be hugely appreciated -

Do all users who initiate this workflow (i.e. submit a form response) need a Premium License for this to work, or is it just the creator of the workflow?

Workflow:

  • User completes and submits form via Microsoft Forms.
  • Data is logged accordingly to a Sharepoint List.
  • Depending on responses, one of a number of template documents is filled out with information submitted on the form, using the Populate a Microsoft Word template Premium Connector.
  • This document is then emailed as an attachment to the original responder, with further instructions in the body of the email.
  • Reminders are sent after days to responder to complete document.

Additionally, if anyone has any advice or proposals to do this differently, I'm open to suggestions!

Thanks!

    Hi @Anonymous

I am assuming that the trigger of this flow is going to be When a new response is submitted for Microsoft Forms. And this flow will use the connections of the person who created the flow and you cannot set the connections for run only users as this is an automated flow. Therefore, all users filling up the forms will not need the premium license.

The approach you have shared looks pretty neat to me.

    Hope this Helps!

Thanks for the response! Yes you are correct about the trigger - that's great to hear.

Additionally, this morning I've signed up for a free trial of Premium and it appears to be working as you've suggested for other users who are not on Premium, so I'm happy!
