Configuring reminder in MS Lists to receive appropriate notifications

Hi everyone,

It seems to me like my issue is not that sophisticated but I'm just starting to use Power Automate, so please don't judge me too severely:)

I have created a list in MS Lists. It contains a number of items, and each of them is associated with a specific person from my team. For this purpose, I added a column 'Assignee' where I can tag any of my teammates or myself.

Then I decided to set a reminder to get notified in Outlook one day prior to the due date of the item. This reminder is a regular flow available in Lists (Automate -> Set a reminder), there's no need to open Power Automate for that. I successfully added this flow and also did some adaptations (adapted the summary and the text of the email) in Power Automate and everything looks well.

However, there's one problem: according to the current flow structure, I receive notifications not only about items assigned to me, but also about the items assigned to my other teammates in case they have the same due date. Could you please help me understand how to set a flow in a way that I get notified only about items assigned to me? I'd appreciate if you could be more specific as I'm just starting to use this tool.

Thanks!

P.S. Just checking: do I understand correctly that I can set these reminders in Lists only for myself, and there's no way I can create a general reminder for everyone to get updated about the upcoming due dates (I mean, within Lists; I guess there can be a way to do it in Power Automate).

    Hi,

Please share screen shots of exactly what you did, as you forgot to tell it to Filter based on you, but I would like to see the steps that you took in pictures please :-)

Thanks for responding! Again, as this is a regular flow, I did not make any substantial changes to it (only altered the message summary and text on Condition step). Hopefully, that is clear enough for you

    Hi,

Can you please share the actual Expressions in your Get Items please.

Based on what you have (and just Fyi it is pulling Power Automate, its just a seperate ui), the only thing that would make it do what you said, is if your filter is wrong (either based on the value you are comparing against, or actually the value you are providing).

That being said, you would do much better with an Automated Flow, not a Re-occurrence. If you did this as part of the SharePoint list, you would add a Trigger Condition that would ONLY first the whole thing if it was too you, which is better than adding in steps you wouldn't need to execute and the cost you are paying (in triggers and actions) for times it shouldn't trigger.

But if I see your filter, as I am assuming, its pulling back (lets pretend you have 50 records and only 5 are for you), its sending you 50 (if its based on the time frame you are looking).

I would need to see both the raw Expressions, as well as you can review that flow and its conditions values, so that we can see what the filter was doing and why it instead pulled them all.

I am assuming you created an filter where its based on Days AND the person's email assigned.

    Hi,

Attached the screenshot, hopefully that helps. Just want to reemphasize that I did not set or modify any filtering, it was set automatically as this is a regular flow.

    Thanks!

    Hi FLMike,

I still did not manage to set the flow in a way that only my items return to me in the notification. Could you please help me on how to filter it properly?

Current GET items expression is the following (Filter Query row):
    concat(concat('Datetodiscuss',' ge ', '''',outputs('Today_+_x_days')),'''',' and ', concat('Datetodiscuss',' lt ','''', outputs('x_Days_+_1'),''''))

I'm not sure how to include the needed filtering here.

    Thanks!

I already figured out how to do it in the scope of the other thread. If anyone interested, https://community.powerplatform.com/forums/thread/details/?threadid=a925aeae-b1f2-ef11-be20-7c1e520dbb77.
