power automate and AI builder Licencing and Feedback loop

Model : custom form processing model

Current license : O365 E3 license

Current phase of project : POC . There are no downstream systems attached. in this POC , We simply extract the data and show How AI builder can extract data in best way.

Next phase : moving to pod , which means ,  the custom model and the power automate flow which is using the model, will

process  Prod documents and data will flow to downstream production systems.

Below are my questions about the AI model and  capacity  w.r.t licensing

  1. Can I  Share and edit the Model with others so that others can train the model ?  But I should be able to only publish is it possible ?
  2. Currently the model is created by me but I think while we move to production we need to make the model owned by a service account , I think this is the  right design so that the ownership doesn’t lies with individual  , is it transferable ?
  3. Currently I have created the flow to use the model. This flow will take documents from one drive ( my one drive folder) and I trigger it manually for testing purpose. If we move to prod , we need to create the flow from service account , is that the right design?
  1. We are now extracting data form different documents , is there any limitation that how many document I can  process using this custom model ?  Given the license I mentioned above?
  2. I processed 25 documents at a time once  , only 20 documents were processed . Is there any limitation that my power automate flow using the custom  model can process only "N documents at a time" ?  May be limitation for license
  3. My final test would be against 300 files and I will be presenting the data points for testing  to business, can I do that with my current licensee  ? Some of the documents are more than 1 pages ,it may be 2 or 3 pages also . So totally it will be close to 500 pages.
  4. If upgrading license is mandatory  for  point 1 and 6 , Then I need to know that in advance let me know experts , please.

Below are my questions about the Feedback loop of the AI model and  capacity  w.r.t licensing

  1. Can I create the feedback loop with my current license ? Am not just talking about feedback loop in the PA flow . I think feedback loop involves routing documents to be processed to Microsoft cloud and Dataverse so with my current License , is it possible to  do it ?
  2. Let's say the routing to feedback loop has to happen  on confidence score of "one field " , but I might have got all  other fields correctly extracted from the same documents. In other words,  I am training the document for only one particular field. How do we convey this information via feedback loop so that the trainer knows this ?
  3. Also , the Training on the Feedbacked documents will happen only on agreed frequency , say weekly or monthly. so there is a possibility that similar kinds of document which is lacking confidence on same field will be routed again .
say eg : 25 docs of type A  for the feild F1 wiould have got routed in a month's time. but there is no need to Label all 25 documents on F1  rather 10 is enough . how to pass on this information to feedback loop or data verse ?  this question is similar to above question Q2.

    Hi @seetharaman ,

Thanks for reaching, I'll try to answer all your questions as best as possible!

1- Yes you can share a model for edit. Co-owners will be able to edit, retrain and publish the model.

2- Yes you can have co-owners of the model and this sounds like a good idea indeed.

3- Indeed. You can also run it an account and use a different one for the OneDrive trigger.

1- You will be limited by the number of AI Builder credits you have in your offer. Each time you do a predict on a page of a document, it consumes credits. If you want to understand a bit more the licensing, you can look at this page: AI Builder licensing | Microsoft Learn

2- There shouldn't be any limitation on the number of documents processed in a row. If a document is not processed it may be because it was not passed to the model or because the format is not correct. Make sure to debug your flow and note the files that are not processed.

3 - If you need to process 500 pages, it would require ~50k AI Builder credits. However with your license I'm not sure you have AI Builder credits included (Do you have any Power Apps or Power Automate license?). You may need to buy an AI Builder add-on. Again, consult this documentation to figure out if you have credits and how to quite them: AI Builder licensing | Microsoft Learn

    Wrt Feedback loop:

1- AI Builder requires Dataverse so the AI Builder feedback loop feature (also based on dataverse) will work if AI Builder works.

2- Unfortunately that's not possible for now. But we had that idea in mind and if we are to improve the feature then we would include this possibility.

3- Same answer than previous point: this is not possible for now. Something you could do is an email or Teams message to the model owner to give more details on the new files they received. But for sure this is less convenient.

    Hope that helps 🙂

Thanks for your replies.  Based on Your answrs on feed back loop i think itz better to keep.the feed back loop outside the flow..

Also i had already gone through the licencing page u quoted..my questions are based on E3 licence which i have. Becuase in middle of some poc test or demo i dont want to run out of credits !!

If you can be specific on what E3 licence o355 offers for aibuilder creditz it will be great.

    Hi @seetharaman ,

I don't think E3 licenses include any AI Builder credits. You can check the credits assigned and the credits available in the Power Platform Admin center > Capacity in the Manage Add-ons screen:

Here you can see that I assigned 100k AIB credits in my environment and there are still ~1.4M available at the tenant level.

with the help of our admin , i found this on my account. i have been using AI builder for more than 2 months now . would have processed more than 100 documents. still the consumed credit is zero ?
    secondly ,

for the second time the AI builder processed only 20 files!!! it stops excatly at 20. and the POC need to be done for 300 files!!! i raised the same point on my post also . the dots are not connecting. can we arrange a call to clear these questions please? we are seriously considering AI builder as the candidate for intelligent document processing in our company.

    Hi @seetharaman,

Glad you solved this 20 files issue, I was not aware of that issue with the list files connector, thanks for sharing the information 🙂

The figure you see about the AI Builder credits doesn't show the credits consumed but the credits assigned to your environment. It appears that you don't have credits to your environment (you should assign them).

Perhaps it works right now because you have a trial.

Please send out an email to aihelpen@microsoft.com if you still have questions. Depending on the complexity we could for sure organize a quick call.
