Create/Update SharePoint List based on data from Document Library

Hi,

 

I have created the following flow that allows to update a Documents Master List on a SP site with the data of documents created and/or modified in a library from another SP site.

When I test my flow, it works for items updating but does not create new items in the list (although it indicates "succeeded" in the history).

 

Moreover, I have columns of type "Managed Metadata" (e.g. "Keywords") of which I do not manage to embark (all) the contents for the update of the list!

 

If someone could help me solve this problem, that would be great. Thanks in advance.

    Could you please show me you're Run from when you try to create item when Get items Document Master List Return Empty output.

    Hi @Anonymous 

    There is no need to iterate on Get items Document Master List in Apply to each as your requirement because it's always empty when your condition is true that's why your Flow is stop on Apply to each 2 Action.

    The "Apply to each 2" corresponds to the Get items Approvals and it creates itself when I fill the "Document Version" field with the value still in another list (the list of document approvals for audits) because there is no versioning in this library. This library was created to receive the documents approved after workflow and transformed into PDF format.


    However, I really need to enter the current major version of the document (the one after approval) in the Document Master list.


    I don't know how else to do it.

    So, I think In First Apply to each you are iterate on Get items Document Master List Please try to Remove First apply to each.

    How can I remove the first "Apply to each" without deleting the rest of the flow? Because Power Automate refuses to let me drag the following blocks out of this loop?


    And if I start all over again, as soon as I complete a field that calls for data contained in "Get items Document Master List", it will put this loop back on!

    Hi @Anonymous ,

    Hover the mouse on value which is used in First Apply to each if value of "Get items Document Master List"  Then Your Flow Is Always Stop on first apply to and never move forward because in this sicario you child apply to each depended on First apply to and If Condition Action is true, "Get items Document Master List" always be Empty.

     

    So that's why you have to remove First Apply to each in your flow.

    As I told you, this is the value of "Get items Document Master List" in the first Apply to each.

    But, how can I remove the first Apply to each (I don't know how to do it without removing everything that follows) and be sure to have all my data completed in my list?


    Especially since, as explained in my first message, I have data in a column of type "Managed Metadata" (keywords) that I must integrate into this Document Master List and when my condition action is false, in "Update items", with the value "Enterprise Keywords Value", it does not work or sometimes integrates only one term when there are several!

    PS: I have the same process (see screenshot below) for the Update items and (3 Apply to each) and it works very well. It does update the data in the list.

    If You want to backup of your flow First, then you can make copy of your flow and then modify it.

    - In the update case your flow run perfectly because in that case Get items Document Master List Return Some value which you update in Document Master List.

     

    -But in the case of creation the Get items Document Master List has not return any value that's why your condition Return True, so if Get items Document Master List return then how can you iterate on null, so your flow is stuck on first apply to each.

     

    - To remove first apply to each you can simply copy your flow from second apply to each and then paste it to outside the first apply to each.
