Using a flow to send attendance certificates to instructors with outlook

Hello,

 

I am new to Power Automate and am finding it not to be the most intuitive interface. Is there a way to use a flow to generate an individual notice of completion for each participant in a workshop and email it automagically? If so, how would I create that?

    Hi @CherylTice ,

     

    If you have your attendee list on an Excel, SharePoint list you can send emails for each attendee. Any data that you have on the list like attendance date, attendee name etc. can be used for sending individual emails. Is this the thing that you are looking for?

    Hi @CherylTice ,

    If you can tell

    1) Your list type - excel or Sharepoint

    2) Condition to trigger the flow - is it going to be triggered automatically when you add an attendee to the list or is it going to be triggered manually when the workshop ends etc.

    3)The email individualization details

    Hello, @Anonymous ,

     

    1. We are thinking of doing this using Google Forms to have participants sign up, so the data would be in Excel. We plan to take attendance in the spreadsheet.

     

    2. Taking attendance in the spreadsheet would be the trigger (I think...)

     

    3. From there, we would like to auto-generate a mail-merged pdf certificate of attendance and email it through Outlook to each participant. The participant's email address and all of the data for the course would be in the Excel spreadsheet. 

     

    I know how to make a mail merged document using Excel and Word, but I do not know how to make Power Automate do all of it together. If you can help, that would be amazing. If I can provide more info to help, please let me know! 😀

    Hi @CherylTice ,

     

    1. Do you have a specific reason for using Google Forms instead of Microsoft Forms? If you use Microsoft forms, every time an attendee submits the form you can trigger a flow to send an email, and also you can keep the form data on an excel sheet if necessary.

    3. In a flow you can generate pdf documents and attach them to the email in the flow, so you shouldn't need mail merge. The below link might give you an idea.

    Must have had a minor brain malfunction! I meant to type Microsoft Forms and not Google Forms! Sorry about that. 🤓

     

    I will take a look at the documentation you shared and see if I can figure it out. You've been immensely helpful!
