Populate Word Template from Uploaded Spreadsheet File

Hi,

 

I am trying to setup a flow so that a user can upload a spreadsheet of responses of a Microsoft Form into a SharePoint folder, this then passes through and a word template file is created for each row response. Could someone advise if this is possible please? I have had a bit of a play but I am unsure how to set the content to pass from the spreadsheet onto the word template.

    Firstly the user is internal I assume, and not a guest that accesses your tenant.

     

    The process seems very converluted, my question is why not save the internal or external users responces to a SharePoint list and then populate the Word Tempate file directly, before I assuming sending this out to the person who completed the form.  The process I descibed seem a lot easier to understand in my view and could be left unattended as flow should be.  And the data is in the SP list which could be used for other things.

    Hi @Andrew_J,

     

    Thank you for your response. I believe the user who holds the data likes to be able to sort & filter so a spreadsheet may be preferred. Instead I could have each response write out to a SharePoint list like you mentioned, and then add a row into a table as well? I could then perhaps set up the send an email to populate a Word template with the data from the response and add a rule on their mailbox so the file with an email goes into a specific folder. I know the user would like to ideally like to be able to print all the files all off though in 1 process if that makes sense?

     

    Basicially what this is for is a shoutout certificate for staff, so on the form is the staff members name and reason why they are having the shoutout, this then populates on the word template and they'd like to be able to produce a file for each staff shoutout. If there was an individual email for each certificate, it would take a lot of time for the user to go in and manually print each file attached created by the word template.

    I sort of do and don't understand your process.  Yes you can do what you want with the excel file as below:

    In fact I have done it myself.

     

    And I would suggest that you remove all hint of a SP List in the process and write the data to an excel file stored in a SP Library that both of you can access.  That way the user who likes sorting and the like can do what they want.  But I am still concered at the additional step by the Form to enter the data into the spreasheet.  It seems like a lot of doubling up.

    Thank you, I have copied the flow similar to shown in the post you have sent. Is it possible to have each item created by the word template all in one document? Rather than creating 20 files if there are 20 rows in the spreadsheet?

    I assum as the form is the main driver for the input of the data into the spreasheet that the form only requests one email address.  If this is the case then it should only email one word file with one email.

    That is correct, it’s all ran off one account. I’ve just tested this but it’s still sending a new email for each individual row in the spreadsheet? Sorry to be a pain.

    That is how it should work, one email for each row.  If you want one email with 20 files then you have to store them somerwhere, then go through the process of adding 20 attachments to one email.  Then sending.
