Dynamics 365 flows. Filtering amended items within an entity.

Hi,

 

New user of Flow here, wondering if anyone can help.

 

I am looking to write a flow to assist with data updates between two systems.

I am looking to get a list emailed to me, which will show any of the items within our Contacts entity that have been updated in a certain period, say the last calendar month, but only if those Contacts have a certain field filled in.

For clarification our parallel systems have some Contacts listed in both, and those that are in both have a field populated with the reference number of the other system. It is only those Contacts that I want to know about any changes for.

I don't need to know the specifics of the changes themselves, only the name of the Contact which has been amended.

Is this possible?

    Hi there.  I've been noodling on this all day, and I may have a solution. 

    Initially, I was thinking you could do all of this from within D365, but I don't think you can kick off a workflow with a recurrence in there yet.  So, here's what I have:

    • Your trigger will be a "Recurrence", set the interval to 1 and the Frequency to month.
    • Next, "List the Records" in D365.  Choose you org. name, and the Contacts entity. (the filter is the tricky part because I don't know code.  But I imagine you can use an ODATA filter query to look for records where that common field is not NULL, AND the modified date's month landed in the month you want.
    • Next, "Create HTML Table" and use the Dynamic value from the previous step on the "From",  including headers would probably be a good idea.
    • Finally, "Send an email".  Fill out the To, Subject, and then use the "Output" from the previous step as the body.

    What do you think?

    Looks like this will work, but I am having real trouble in getting the filter formula correct. Nothing I do seems to work out. Can anyone help with the formula part to filter only items with the specific field filled in?

     

    The field I am looking to filter on is called 'edgereference', and I need it to filter those where this field contains data, and the item has been modified in the last calendar month.

    Just a thought, is there an option to use Flow to trigger the periodical running of a saved Advanced Find search in Dynamics, as this would output exactly the information I require to sort this out.

    Well, I have an idea...it's clunky and weird, but it will probably work - 

     

    1. Create a Flow with a recurrence of whatever schedule you want.
    2. Have it update a specific record in D365.
    3. Create a workflow to send a report whenever that record is updated.

    Most of the stuff I do, I know there are more elegant ways to do...but that's why I dig the new platforms so much.  There are so many ways to come at a problem, folks of all levels can be problem-solvers. 🙂

    Thanks again for your response. It may be me being a tad dull with regards to Flows, but I am not entirely sure I can see how what you are suggesting will help me.

    I think I may also have an issue with a distcinct lack of Dynamic Content, see screenshot.

    I have located my issue.

     

    It would appear that you are unable to connect to Dynamic content if you use a monthly recurrence as a trigger. This seems entirely daft to me, as I would think it a very useful service to provide.

     

    Looks like I will be going elsewhere to get this data, unless this changes soon!
