Automation of DMARC reporting # PLEASE HELP #

I tried using Power Automate online yesterday, but I kept getting an error message saying the flow would no meet DLP requirements and data leaving the organisation; which I don't understand as it was either Outlook to OneDrive for Business or Outlook to SharePoint.
 
I though Power Automate Desktop may be another option, so I have been playing for a couple of hours but having more different issues. I want a flow to find emails containing DMARC reports and then save the attachments in either OneDrive or SharePoint, finally move processed emails into mail subfolder Inbox\dmarc
  • Unable to add multiple email addresses into the PA email criteria, I tried splitting using comma and semicolon... no joy
  • Was successful one time, but after filtering emails but every time since the flow fails saying that it is unable to find the Inbox\dmarc folder
    • Super frustrating! not sure if a process is locking the Outlook datafile maybe? if that is the case not sure how I can solve it
 
I then thought I would try instead of using the Outlook module I would try the Microsoft Exchange module, as I have Exchange online but that won't authenticate, showing error "Failed to connect to the exchange server", I as this is due to it not prompting me me OAuth?
 
 
What am I doing wrong folks, am I over complicating this? please help

    You're trying to build a Power Automate flow (cloud or desktop) to extract DMARC report attachments from emails and save them to OneDrive or SharePoint, then move the processed emails to a subfolder (Inbox\dmarc). You've encountered several issues, including:

    • DLP (Data Loss Prevention) policy blocks in Power Automate cloud.
    • Folder not found errors in Power Automate Desktop.
    • Authentication failures with the Exchange module.

    Let’s break this down and address each issue with insights from internal documentation and community forums.


    🔐 1. DLP Policy Blocking Cloud Flow

    Your flow from Outlook to OneDrive or SharePoint is being blocked due to Data Loss Prevention (DLP) policies. Even though all services are Microsoft-owned, your tenant admin may have classified Outlook as a business connector and OneDrive/SharePoint as non-business, or vice versa. This mismatch triggers the DLP block.

    Fix:

    • Ask your Power Platform admin to review and adjust the DLP policy in the Power Platform Admin Center.
    • Alternatively, use Power Automate Desktop, which is not subject to DLP policies  .

    🖥️ 2. Power Automate Desktop: Folder Not Found

    You're getting errors like “unable to find the Inbox\dmarc folder.” This is a known issue when:

    • The folder path is case-sensitive or incorrectly formatted.
    • The Outlook data file is locked by another process.
    • The folder hasn’t been synced locally or is nested incorrectly.

    Fixes:

    • Use the “Get subfolders” action to dynamically list and verify the folder path.
    • Try using Inbox\\dmarc or Inbox/dmarc depending on the module.
    • Ensure Outlook is open and not syncing or locked by another process.
    • Restart Outlook and Power Automate Desktop to release any locks  .

    📧 3. Multiple Email Addresses in Filter

    Power Automate Desktop doesn’t support comma- or semicolon-separated lists in the email filter field.

    Workaround:

    • Use a loop to iterate through a list of sender addresses and apply the filter individually.
    • Or use a regular expression in the filter condition if supported.

    🔐 4. Exchange Module Authentication Failure

    The error “Failed to connect to the exchange server” is likely due to missing OAuth prompt or unsupported authentication in the desktop module.

    Fixes:

    • Use the Outlook module instead of Exchange if you're on Microsoft 365.
    • If you must use Exchange, consider switching to Power Automate cloud with a premium connector or use Graph API via HTTP actions.
