Using Power Automate to Automate Employee Time-off Requests with Multiple Approvers

So I am looking to automate my companies time off request process. Ideally it would go something like this...

  1. Employee submits a request using our PTO request form via Microsoft Forms.

  2. The employee's responses are added to a list within SharePoint.

  3. An email is sent to the employee's manager with the details of the request for an initial approval.

  4. If the manager approves the request, a second email will go to a final approver (like HR).

  5. Once the request has been fully approved, an email will go to the employee stating that their request has been approved and an appointment will be added to our company calendar for their approved leave dates.

How do I go about configuring something like this? I've tried modifying other templates and still can't get it to function exactly how I would like it to.

 

Some additional questions I've run into...

  1. When someone completes the form in Microsoft Forms, they are given the option to download a PDF of their responses. Can this be sent as an attachment to the approvers? From what I've read online it's not possible and the only options are to send the form responses in the body of the email to the approvers or to set up a flow where the form responses are dropped into an HTML doc and then converted to PDF and then attached to the email to the approvers.

  2. Where is the paper trail for the approvals stored? Can we have this flow add the approved or rejected status to the SharePoint list on the same line where the employee's form responses are being added?

  3. Is there a way for the approvers to make changes to the employee's form responses? Or can that only be done on the SharePoint list and then would need to be communicated to the employee via the notes in the approval?
