Get user email to populate send email

Hi all,

 

We use lists in SharePoint to track who has read notices in our department.

 

Team members go into the list, select "yes" from a yes / no option in the list, and then occasionally we do a manual check. 

 

The idea was to have a check run every two weeks automatically, see who is still marked as "no", and send them an email reminding them to check their notices. 

 

I've got the flow finding the list, filtering who is marked as "no", but I cannot get the flow to take that user's email address and auto populate the send email function. 

 

For now I've got it as a manual trigger. 

 

I've tried so many different steps, using conditions, compose, different filter types. It seems when I get one part to work, another stops.

    @EZSULD

    Can you expand your Filter Array action? It's unclear what you are using this action for. 

    If you are only checking to see if the test dan column is equal to No, you should use the Filter Query field to filter out the items. 

     

    Filter Your Items

    You will need to use the internal column name of your test dan column. Keep in mind that the internal column name may not always match the name displayed in your Sharepoint list. If you aren't sure how to get the Internal Column name, you can refer to this section of one of my YT Tutorials.

    Return Item Count

    Whenever I use a Filter Query in a Get Items action, I always like to return the count of items returned in a Compose action. This is helpful when building a flow and can also be used to troubleshoot your flow.

    Insert a Compose action. Add an Expression. Use the length() function.

    Select the Dynamic content tab and insert the value dynamic content from the Get Items action into the length() function.

    Run a test. Review the outputs of the Compose action to ensure the number of items being filtered out is what you are expecting. If it's not, you'll need to check your filter query.

    Condition Check

    Add a Condition action to your flow. If items have returned (aka there is number stored in the Compose action—that is not equal to 0), add the rest of your actions to the Yes branch. If not, do nothing.

    Since you are using a person column (Team Member) the Get User Profile (V2) action isn't required. When you use the person column, there is a lot of dynamic content available to select from. Use the Email dynamic content for your person column to return the email address of the user assigned to the SP item.

    Note: My person column name is Person. You will need to select your respective person column email dynamic content.

    Hi @creativeopinion.

     

    Thank you for this. I have followed your steps and it seems to be working. 

     

    One point to note, is that it wouldn't work with the outlook "send an email v2" but only with "Send an Email notification V3).

    @EZSULD It looks like you are using a different action type than the one I was using. You are using a Mail action. I was using an Office 365 Outlook action. Glad it's working for you!
